Job Summary

The Office Operations Coordinator will be responsible for managing payroll, financial administration, and HR duties to ensure the efficient operation of our office at Stybek Roofing Ltd.

Key Responsibilities

  • Payroll management, including timesheets, deductions, and vacation tracking.
  • Accurate and efficient handling of Accounts Receivable (AR) and Accounts Payable (AP).
  • Preparation of bills, tax payments, invoices, and schedule of values for projects.
  • Receipt submission and expense management in the bookkeeping software.
  • Report preparation for senior management review.
  • Adherence to licensing, insurance, and certification requirements.

HR Responsibilities

  • Employee file maintenance and updates with accuracy and confidentiality.
  • Vacation tracking, sick days, and other leave types in BrightHR.
  • Employee training matrix management, ensuring certifications and training are up-to-date.
  • New hire package preparation and onboarding documentation.
  • Assistance with tracking employee performance reviews and HR-related documentation.

Administrative Support

  • Phone answering and office email inbox management.
  • Customer database maintenance and update in the Roof+ software.
  • Service ticket input and tracking efficiently.
  • Job startup administration, including contract organization, permits, and insurance documents.
  • Estimator support by collecting data and preparing documents for the prequalification process.
  • Meeting coordination and calendar management for senior leadership.
  • Internal communication preparation and distribution, reports, and meeting minutes.

Requirements

  • Minimum 3 years of experience in an administrative or HR role, preferably in construction or a related industry.
  • Diploma or certificate in Business Administration, Human Resources, or a related field preferred.
