Executive Support Specialist

We are seeking a highly organized and detail-oriented Executive Support Specialist to join our team at GOURMET RESTAURANT. This is an excellent opportunity for a motivated individual to work in a fast-paced environment and provide administrative support to our management team.
Key Responsibilities- Coordinate the flow of information within the team, ensuring seamless communication and collaboration.
- Direct and control daily operations, including managing schedules, budgets, and resources.
- Direct staff, providing guidance and training to ensure they have the necessary skills and knowledge to excel in their roles.
- Open and distribute mail and other materials, maintaining a well-organized and efficient office environment.
- Plan and control budget and expenditures, ensuring that our resources are allocated effectively.
- Plan and organize daily operations, prioritizing tasks and meeting deadlines.
- Supervise other workers, providing constructive feedback and coaching to improve performance.
- Establish and implement policies and procedures, ensuring compliance with company standards.
- Schedule and confirm appointments, coordinating with stakeholders and external partners.
- Manage training and development strategies, identifying areas for improvement and implementing relevant programs.
- Oversee the analysis of employee data and information, using insights to inform decision-making.
- Answer electronic enquiries, responding promptly and professionally to customer inquiries.
- Respond to employee questions and complaints, addressing concerns and resolving issues promptly.
- Order office supplies and maintain inventory, ensuring that we have the necessary resources to operate efficiently.
- Liaise with management, union officials, and HR consultants, building relationships and communicating effectively.
- Oversee payroll administration, ensuring accuracy and compliance with regulatory requirements.
- Set up and maintain manual and computerized information filing systems, storing sensitive information securely.
- Perform data entry, accurately capturing and recording important information.
- Maintain and manage digital databases, ensuring that our data is up-to-date and easily accessible.
- Perform basic bookkeeping tasks, reconciling accounts and tracking expenses.
- Conduct performance reviews, evaluating employee performance and providing constructive feedback.
- 2 years to less than 3 years of experience in a similar role.
- Degree in Business Administration or related field.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Strong organizational and time management skills.
- Proficiency in MS Office and accounting software.
The salary for this position is approximately $45,000 per year, based on industry standards and location. In addition to a competitive salary, we offer a comprehensive benefits package, including health insurance, retirement plan, and paid time off.
