About the Role
We are seeking a highly skilled and experienced Legal Assistant to join our team in the Insurance Defense department. As a Legal Assistant, you will provide administrative support to our lawyers, assisting with a variety of tasks related to civil litigation and insurance defense.
Key Responsibilities
- Prepare legal documentation, including pleadings, discovery, and motions, in a timely and accurate manner.
- Draft correspondence and review incoming mail to determine urgency and work with lawyers accordingly.
- Provide telephone assistance, including answering routine questions and handling incoming calls.
- Maintain lawyers' calendars, diaries, and tickler dates, ensuring that all deadlines are met.
- Review calendars daily and proactively handle upcoming events, determining dates for serving and filing pleadings.
- Input and maintain information into our proprietary case management system, ensuring data integrity.
- Maintain, organize, and index all case files for staff lawyers, filing correspondence, pleadings, and other documentation in a timely and accurate manner.
- Schedule and coordinate examinations for discovery, medical examinations, and other court-designated hearings.
- Retain court reporters and interpreters as needed.
- Act as a liaison between insured, claim professionals, and staff counsel, furnishing and requesting information as needed, and assisting in the completion of necessary reports.
Requirements
- Associate's degree or vocational assistant training preferred.
- Minimum 6 years of experience as a Legal Assistant, or consistently high-level performance.
- Prior corporate experience preferred.
- Experience in insurance defense litigation preferred.
- Superior written and oral communication skills.
- Superior interpersonal skills to communicate with court personnel, other attorneys, and their staff, clients, witnesses, and outside vendors.
- Highly proficient in MS Word, MS Outlook, Excel, and PowerPoint.
- Highly proficient with the usage of a case management system and other software applications.
- Sound knowledge of the Rules of Civil Procedure.
- Strong understanding of legal terminology, local court/jurisdiction rules, and adherence to law office procedures.
- Ability to identify urgency and prioritize tasks accordingly.
- Ability to manage time and multitask effectively.
- Display problem-solving skills by developing methods or approaches to getting the work done.
- Maintain composure and professionalism under pressure, as well as adapt to new situations and changing priorities.
- Ability to work independently as well as in a team environment.
- Strong organizational skills.
- Ability to operate business machines, such as photocopy and scanning equipment.
