Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Revitalize Marketing Inc. As an Administrative Assistant, you will play a vital role in supporting our operations and ensuring the smooth day-to-day functioning of our office.

Key Responsibilities:
  • Coordinate the flow of information within the team, ensuring timely and effective communication.
  • Plan and organize daily operations, prioritizing tasks and managing multiple projects simultaneously.
  • Establish and implement policies and procedures to maintain a productive and efficient work environment.
  • Train other workers on new procedures and systems, promoting a culture of continuous learning and improvement.
  • Determine and establish office procedures and routines, streamlining processes and reducing administrative burdens.
  • Plan, develop, and implement recruitment strategies to attract top talent and support our growth goals.
  • Schedule and confirm appointments, ensuring seamless coordination with internal and external stakeholders.
  • Answer telephone and relay telephone calls and messages, providing exceptional customer service and support.
  • Answer electronic enquiries, responding promptly and professionally to all correspondence.
  • Compile data, statistics, and other information, analyzing trends and insights to inform business decisions.
  • Order office supplies and maintain inventory, ensuring a well-stocked and organized workspace.
  • Set up and maintain manual and computerized information filing systems, ensuring accurate and secure data storage.
  • Conduct research, staying up-to-date on industry trends and best practices to drive innovation and improvement.
  • Provide customer service, responding to inquiries and resolving issues in a timely and professional manner.
  • Work with the marketing department to understand and communicate marketing messages to the field, ensuring alignment and consistency across all channels.
  • Consult with clients after sale to provide ongoing support and ensure customer satisfaction.
Requirements:
  • 7 months to less than 1 year of experience in an administrative role.
  • Ability to work in a fast-paced environment, prioritizing tasks and managing multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues and clients.
  • Strong organizational and time management skills, with the ability to meet deadlines and deliver results.
  • Proficiency in Microsoft Office and other productivity software, with the ability to learn new systems and technologies quickly.
  • Ability to work independently and as part of a team, with a strong commitment to collaboration and teamwork.
  • Fluency in English, with the ability to communicate effectively with colleagues and clients.
  • Ability to work 35 hours per week, with flexibility to adapt to changing priorities and deadlines.
