We are seeking a highly skilled Treatment Coordinator to join our team at Docbraces Charlottetown & Docbraces Summerside in Charlottetown, Summerside, PE. As a Treatment Coordinator, you will play a vital role in delivering exceptional patient care and service experience in our clinics.

Key Responsibilities:
  • Welcome new patients with a friendly and enthusiastic approach, ensuring a positive first impression.
  • Facilitate necessary radiographs and photos for consultations/observation patients, maintaining accurate records.
  • Review health history with patients and/or guardians, recording any relevant information.
  • Research medication, describe purposes, and note any orthodontic contraindications for the Orthodontist.
  • Determine patient and parents' chief concerns and goals of orthodontic treatment, summarizing information for the doctor.
  • Introduce the Orthodontist to the family, assist in the examination and data collection, and record data quickly and accurately.
  • Listen to conversations between patients and doctors, taking appropriate notes, and generate correspondence from initial consultations and recall examinations for referring dentists.
  • Review treatment plans with patients, show available appliances, describe upcoming appointments, and use tools to illustrate treatment plans.
  • Review financial information, print contracts, and review investment with patients and/or families, finding payment options that work for them.
  • Complete contracts, review informed consent (if applicable), and schedule records/start appointments.
  • Review insurance breakdowns, provide insurance forms (if applicable), and answer final questions, escorting patients to the door.
  • Communicate 'Ask Fors' to inquire about other family members or friends interested in no-charge consultations, and inform patients and families of office promotions or marketing objectives.
  • In downtime, complete pending calls and confirmation calls, monitor recall programs, and act as a liaison between doctors and patients, as well as between doctors and other dental specialists or general practitioners.
  • Complete monthly analytics and maintain a positive attitude for service excellence, working cohesively with fellow team members.
Requirements:
  • Sales or customer service experience is required, with a focus on customer relationship management.
  • Excellent interpersonal skills and impeccable verbal & written communication are essential.
  • Self-motivation, ability to work independently, and strong influencing and negotiation abilities are necessary.
  • Computer proficiency and the ability to learn new programs, including Microsoft Office Suite, are required.
  • Dental experience is considered an asset, but not required.
