Event Management Supervisor for Educational Institution

Position Overview:

The Catering Supervisor plays a crucial role in ensuring the successful execution of events within a vibrant educational environment. Collaborating closely with the General Manager and the Culinary team, this position is responsible for leading the planning, coordination, and delivery of various events.


Key Responsibilities:
  • Oversee the comprehensive management of events, including client meetings, event details, budget monitoring, and sourcing external resources as necessary.
  • Drive on-site sales for upcoming events while collaborating with the marketing team.
  • Work in conjunction with all relevant departments to ensure timely completion of event components according to client specifications.
  • Engage with the Executive Chef and clients to curate appropriate menus for each event.
  • Facilitate menu planning meetings with all necessary stakeholders.
  • Maintain availability for clients throughout their events, ensuring key service components are effectively managed.
  • Coordinate non-food supplies essential for each event, including linens, staffing, equipment rentals, and floral arrangements.
  • Design the layout of event spaces in compliance with client needs and health & safety regulations.
  • Ensure strict adherence to health and safety protocols by all staff during event setup and execution.
  • Maintain accurate financial and administrative records of any modifications impacting final billing for events.

Qualifications:
  • Post-secondary diploma required; preference for a degree in Hospitality or Event Planning.
  • 3-5 years of experience in managing and executing medium to large-scale events.
  • Ability to independently manage multiple projects while demonstrating excellent communication, organizational, and creative thinking skills.
  • Focus on maximizing revenue while delivering exceptional value and service to clients.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; familiarity with event management software is advantageous.
  • Strong initiative and hospitality orientation, along with project management and problem-solving skills.
  • Exhibit flexibility, a pleasant demeanor, sound judgment, and the ability to handle confidential information discreetly.
