Role Summary
Location: Dundas, ON Canada
The Ontario Nurses' Association (ONA), a prominent health-care union established in 1973, represents over 68,000 registered nurses and health-care professionals across Ontario. ONA is dedicated to enhancing the social, economic, and general welfare of its members by providing essential labour relations services, ensuring that their rights under collective agreements are upheld, and negotiating optimal employment conditions.
ONA is currently seeking a Labour Relations Assistant for the Litigation Team. This dynamic team, comprising 20 litigators, is engaged in a robust labour practice and is led by the Manager of Litigation. The successful candidate will provide crucial administrative and clerical support to litigators involved in various legal proceedings, including labour arbitration, labour board matters, and human rights tribunals.
Key Responsibilities:
- Assist litigators by organizing and facilitating their labour practice, including various legal proceedings.
- Manage files effectively, ensuring proper organization of documents and records (both electronic and hard copy).
- Perform essential administrative tasks, implement relevant work processes, and track deadlines for grievance processing.
- Develop a comprehensive file tracking system in collaboration with litigators to monitor case progress.
- Oversee calendar management for litigators, including scheduling preparation meetings and hearing dates.
- Establish and maintain relationships with internal and external stakeholders, including local leaders, members, and arbitrators.
- Handle inquiries via telephone and in person, directing them to the appropriate team member.
- Prepare legal documents, correspondence, and books of authorities for hearings.
- Assist in the preparation, compilation, and filing of various applications and responses for administrative tribunal proceedings.
- Transcribe documents, including letters and memos, and manage photocopying and scanning tasks.
- Convert documents into Word format and utilize provided templates.
- Produce and proofread materials for litigators, ensuring accuracy and professionalism.
Qualifications:
- Post-secondary certificate or diploma in Business Administration, Legal Administration, or a related field.
- Three to five years of relevant experience as a legal secretary or assistant in labour and employment law or related litigation.
- Ability to communicate in French is an asset.
- Experience in file and records management.
- Familiarity with legal terminology and arbitration procedures.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Self-motivated and able to work independently.
- Detail-oriented with strong organizational skills.
- Demonstrated team player with a solid work ethic.
- Excellent interpersonal, verbal, and written communication skills.
- Able to manage multiple tasks and deadlines in a fast-paced environment.
- Professional demeanor when interacting with internal and external stakeholders.
