Position Overview

Role Summary

The Ontario Nurses' Association (ONA) is a prominent health-care union representing a vast network of registered nurses and health-care professionals. We are currently seeking a Labour Relations Assistant to join our Litigation Team. This position is crucial in providing essential administrative and clerical support to our litigators engaged in various legal proceedings related to labour relations.

Key Responsibilities:

  • Assist litigators in managing their labour practice, which includes arbitration, labour board matters, and human rights tribunal cases.
  • Oversee file management, ensuring that both electronic and hard copy documents are organized and accessible.
  • Perform administrative duties, implement effective work processes, and track critical deadlines associated with grievance processing.
  • Collaborate with litigators to develop a comprehensive file tracking system to monitor case progress.
  • Manage the calendar for the litigator, including scheduling preparation meetings and hearing dates.
  • Establish and maintain relationships with internal and external stakeholders, including members, arbitrators, and employer representatives.
  • Handle inquiries from various sources and direct them to the appropriate team member.
  • Prepare legal documents, correspondence, and other materials necessary for hearings.
  • Assist in compiling and filing applications and responses for administrative tribunal proceedings.
  • Transcribe documents and ensure accurate documentation of communications.
  • Photocopy, scan, and convert documents to required formats as needed.
  • Proofread and produce materials for the litigation team, ensuring high standards of accuracy.

Qualifications:

  • A post-secondary certificate or diploma in Business Administration, Legal Administration, or a related field.
  • Three to five years of relevant experience as a legal secretary or assistant, particularly in labour and employment law.
  • Proficiency in file and records management.
  • Familiarity with legal terminology and procedures related to arbitration and labour boards.
  • Advanced skills in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Self-motivated with a strong attention to detail and organizational skills.
  • Excellent communication skills, both verbal and written.
  • A proven ability to manage multiple tasks and deadlines in a dynamic environment.
