The Office Coordinator plays a vital role in ensuring the smooth operation of our head office. This dynamic role involves managing day-to-day tasks, coordinating team activities, and serving as the primary point of contact for office-related matters.
Key Responsibilities:
- Oversee the daily activities of the head office, ensuring its proper functioning and efficiency.
- Coordinate team meetings, business dinners, and corporate events in our conference rooms and employee room.
- Provide administrative support to various head office teams as needed.
- Manage administrative expenses related to office space, equipment, supplies, parking, maintenance, and security needs.
- Handle administrative follow-up of various projects and committees.
- Act as the main liaison with building management.
- Administer policies and procedures related to the building.
- Participate in the OHS committee.
- Lead the social committee.
- Office Operations: Ensure daily office operations run smoothly, coordinating maintenance and repairs of office equipment and facilities. Ensure compliance with health, safety, and security policies within the office environment. Handle escalated issues and provide solutions to maintain a positive office atmosphere.
The Ideal Candidate:
- DEC or a certificate in office administration or relevant experience.
- 2 years of experience.
- Resourceful and works well within a team.
- Strong verbal and written communication in both French and English.
- Familiarity with software like Microsoft Office Suite.
- Flexibility and excellent support to both internal and external stakeholders.
