The Ancillary Operations Coordinator plays a crucial role in fostering collaborative relationships and providing support to all ancillary service providers at Algoma University. This position encompasses responsibilities related to various campus services, including the campus bar, food services, and bookstore operations. The individual will engage with all stakeholders regularly, delivering updated reports, constructive feedback, and strategic operational planning to the Manager of Ancillary Operations. They will also be tasked with communicating any updates or modifications to the student body while ensuring accurate budget tracking, adherence to contractual obligations, and monitoring of operational hours.

KEY RESPONSIBILITIES:

A. Speakeasy Bar Management (60%)

Manage inventory and procure supplies as necessary. Collaborate with bartenders to assess supply requirements on a weekly basis (or more frequently as needed). Ensure responsible purchasing practices with the LCBO. Maintain a responsible partnership with the Beer Store, overseeing payments, deliveries, and returns. Conduct semesterly evaluations of bar equipment and other needs. Establish and uphold an inventory management system. Reconcile cash reports and deposits on a weekly/monthly basis, working closely with bar staff to resolve discrepancies and accurately track transactions. Submit monthly financial reports and cash deposits to the finance department. Update the Point of Sale (POS) system and manage its maintenance. Ensure the proper functioning of equipment and promptly report maintenance issues. Develop a comprehensive training program for bartenders and AV training for bartenders/SL staff/AUSU staff. Provide support for programming, event planning, and rental coordination. Assist in the coordination of events, including: Intake, tracking, and follow-up for both external and internal events. Collaborating with other internal services for external events. Maintaining relationships with external partners. Supporting event setup (floor plan/layout). Stocking the bar with requested beverages. Determining pricing and charges for events. Supporting AUSU-related activities within the Campus Bar, including: Booking and coordinating details within the space. Ensuring staff presence for events and setup. Arranging external security services. Assisting with budget tracking and procurement. Supporting catering endorsements at sporting events and other occasions. Cultivating relationships with external partners (Beer Store, local breweries, etc.). Ensuring compliance with AGCO standards and collaborating with AGCO representatives for responsible service. Aiding in the development and communication of house policies. Enhancing social media presence and event materials. Supporting the development and review of risk management policies related to programming. Providing insights to the Manager of Ancillary Operations to enhance Campus Bar engagement and foster a vibrant campus atmosphere.

Vendor Contract Management (30%)

Maintain regular communication with the bookstore manager. Cross-check stock and identify missing items at least three months before the semester begins. Collect feedback from students and faculty regarding accessibility of textbooks and merchandise. Collaborate with the food service provider to ensure smooth delivery to students. Regularly engage with the food service provider to understand their needs and gather feedback.

Additional Responsibilities (10%)

Provide support to the Student Life team as required. Undertake other duties as assigned by the Manager.

MINIMUM QUALIFICATIONS

SmartServe Certification is mandatory. CPR/First Aid Certification is required. Knowledge of AGCO Licensing Regulations is essential. Exceptional written and verbal communication skills are necessary. Strong customer service skills are required. Demonstrated interpersonal and leadership abilities in managing student employees. Capacity to work effectively in a team setting. Understanding of and commitment to maintaining strict confidentiality as per university policy. A Vulnerable Police Sector Check is required.
