Job Overview

The Accounting Operations Supervisor plays a crucial role in overseeing the Corporate Accounting Transaction Services Team, which encompasses both accounts payable and accounts receivable functions. This position entails managing sub-ledger activities, performing account reconciliations, and ensuring accurate recording of financial transactions for both internal and external reporting. The Supervisor is dedicated to the daily management of operations, supervising a team of unionized Accounting Clerks with the assistance of a Team Lead. Responsibilities include reviewing weekly A/P and A/R batches, resolving issues with Approvers across the organization, and assisting with reconciliations and complex A/P challenges as directed by the Manager. The Supervisor reports directly to the Manager of Accounting Operations and oversees a team consisting of a Team Lead, two Senior Accounting Clerks (Grade VI), nine Senior Accounting Clerks (Grade IV), and one Junior Accounting Clerk (Grade III). Note: This role is eligible for a hybrid work schedule after an initial period of onsite work and onboarding, subject to the terms of the Flexible Work Policy Agreement. Key Responsibilities
  • Manage daily operations of the Accounting Operations Team, ensuring adequate staff coverage and task fulfillment.
  • Conduct performance evaluations, providing constructive feedback and recommendations for improvement to accounting staff.
  • Collaborate with Human Resources on various employee-related matters concerning the MoveUp Union.
  • Ensure timely and accurate processing of accounts payable transactions.
  • Review and post batches, accruals, and adjustments prepared by the accounting team.
  • Oversee the administration of the Accounts Payable system, addressing setups, issues, and resets.
  • Facilitate weekly payment runs and manage processes following cheque runs.
  • Monitor key performance indicators and establish troubleshooting guidelines.
  • Approve and post manual match batches for wire payments.
  • Verify bank details for new vendors or changes to existing ones.
  • Maintain cheque listings and generate reports for cheque fraud protection.
  • Assist with tax filing and payments (GST, PST, corporate, payroll).
  • Oversee month-end closing processes for AP/AR modules and reconcile sub-ledgers to the general ledger monthly.
  • Manage remote cheque deposit functions and stop payment requests.
  • Reconcile various accounts and maintain monthly balance sheet working papers as assigned.
  • Support the annual audit by preparing working papers and responding to inquiries.
  • Prepare weekly accounts payable estimates and forecasts.
  • Contribute to the development and documentation of policies and procedures for accounts payable, receivable, and invoicing functions.
  • Generate additional reports and analyses as requested.

Qualifications

  • Bachelor's degree in Business Administration, Accounting, or a related field is preferred.
  • Actively pursuing a professional accounting designation (CPA) is advantageous.
  • At least 5 years of progressive accounting experience, particularly in account reconciliations and managing A/P and A/R.
  • A minimum of 3 years of experience in a supervisory role, preferably with unionized staff.
  • Familiarity with JD Edwards Enterprise One (ERP) and Business Intelligence or similar systems.
  • Strong customer service orientation, self-motivated, and proactive.
  • Excellent analytical skills for managing complex account reconciliations.
  • Strong organizational and time-management capabilities.
  • Ability to work collaboratively and prioritize multiple tasks effectively.
  • Comprehensive understanding of financial practices and procedures.
  • Capacity to work independently under tight deadlines.
  • Knowledge of auditing and IT functions is beneficial.
  • Exceptional oral and written communication skills, along with effective listening abilities.
  • Proven ability to manage and direct staff to ensure productivity.
