Position Overview

We are seeking a permanent full-time Client Services Administrator to enhance our operations. This role is vital in facilitating all transactional activities associated with the Investment Advisors' clientele. The ideal candidate will exhibit professionalism, meticulous attention to detail, independence, and strong organizational skills. Proficiency in technology and the ability to manage multiple tasks effectively are essential in this fast-paced environment.

Key Responsibilities

  1. Overseeing all transaction-related processes, including client contributions, withdrawals, portfolio adjustments, and systematic fund transfers;
  2. Assisting with reception duties, maintaining professional phone etiquette, and efficiently managing incoming calls;
  3. Ensuring compliance and accuracy in client accounts and documentation, keeping records current and in line with regulatory standards;
  4. Proactively monitoring client accounts, identifying issues, and communicating findings to the advisory team;
  5. Utilizing various software platforms to execute tasks with efficiency;
  6. Collaborating with colleagues to ensure a seamless client service experience.

Qualifications

  1. At least 2 years of experience in an administrative role;
  2. Experience in the investment sector with a solid understanding of the securities industry is preferred OR,
  3. A CIRO license with limited experience, seeking to advance in the wealth management field;
  4. Strong grasp of investment processes, including buying and selling securities;
  5. Exceptional attention to detail, ensuring precision in transactional activities and client account oversight;
  6. Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook;
  7. Technologically adept with a quick learning curve for new software;
  8. A preference for working with numerical data, capable of accurate financial analysis;
  9. Strong verbal and written communication skills, effective in client and team interactions;
  10. A proactive approach to identifying opportunities for improving efficiency and enhancing client service;
  11. Excellent organizational skills, capable of managing multiple tasks and meeting deadlines;
  12. Ability to follow established protocols and maintain high standards of accuracy;
  13. Strong multitasking abilities within time constraints;
  14. A team-oriented mindset with a professional and approachable demeanor, contributing to a positive workplace culture.
