Job Summary:

The City of Saint John is seeking an experienced Executive Assistant to General Counsel to provide administrative and paralegal support to the General Counsel office. This role will work closely with senior members of staff to provide high-level administrative support, including drafting documentation, performing research, and managing administrative components of real estate transactions.

Key Responsibilities:

  • Provide administrative support to the General Counsel office, including drafting documentation, performing research, and managing administrative components of real estate transactions.
  • Assist in the management of the administrative components of a real estate transaction, including the preparation of documentation.
  • Support by-law enforcement, litigation, and contract management efforts.
  • Perform clerical responsibilities, such as payroll hours entry, maintenance of the filing system, record, contract, and document management, payment of invoices, purchasing of office supplies, and general management of the administrative side of the office.
  • Assist with the budget process, maintaining calendar, and scheduling meetings.
  • Support the customer service function of the office.

Requirements:

  • 2-year diploma in Business, Paralegal, or related education.
  • Minimum of five years related experience.
  • Intermediate level of French as determined by the Province of New Brunswick Oral Proficiency Exam is an asset.
  • Proficiency in the use of office software packages, including advanced Word, PowerPoint, Excel, and HTE related applications.

Working Conditions:

The successful applicant will be eligible to work a compressed work week of 4 days (Monday to Thursday) throughout the trial period of the City's recently adopted Compressed Work Week Trial. This schedule is subject to change.
