This role supports projects and operations as a member of the Document Management Group, responsible for the lifecycle management of all Cenovus Atlantic Region documentation. The successful candidate will assist with daily activities, ensuring timely delivery of information to clients, and act as a liaison between the document control center team and clients.
Key Responsibilities- Facilitate timely access to business information in an electronic environment
- Assist with daily activities of the document control center team, ensuring timely delivery of information to project and operations clientele
- Act as a liaison between the document control center team and clients, listening to document management issues and needs
- Support and training of project/operations users and clients, both internally and externally
- Identify difficulties and inadequacies related to data/file management at Cenovus and propose improvements to maintain quality standards
- Ensure authors and other documentation providers adhere to the Documentation Guidance Manual standards, format, etc.
- Support Major Project and Operations Groups as required
- Periodic travel to various work sites inside and outside Canada may be required
- Perform standard document control functions for revision and non-revision controlled documentation, including engineering and vendor documentation
- Operate the electronic transmittal system to manage registration, tracking, and distribution of controlled documentation
- Perform closeout functions for major projects, including redlines and As-Built information
- Assist in quality management of the information management system
- Coordinate and ensure the document workflow process is followed
- Consult with clients on formatting of documents, using accurate document templates, standards, titling, etc.
- Legally eligible to work in Canada
- Diploma/certificate in records management or equivalent education and experience
- 4+ years' document control experience
- Understanding documentation revision control and review/approval process
- Knowledge and understanding of document workflow and life cycles
- Ability to coordinate and prioritize work requests and meet deadlines based on overall understanding of business impacts
- Strong working knowledge of an electronic Document Management System (e.g., OpenText+)
- Excellent attention to detail, organizational, and customer service skills
- Excellent communication, written, and verbal skills
- Experience within or exposure to the Oil and Gas Industry
- Experience in an engineering environment
