Key Responsibilities

As a vital member of the Building Services division, you will play a crucial role in delivering technical assistance to our office. Your responsibilities encompass, but are not limited to:

Internal Support:

  • Drafting regular proposals for condominium reserve fund study updates and tailored proposals for engineering service opportunities;
  • Supporting report creation, documenting meeting minutes, developing presentations, and conducting research;
  • Responding to requests for proposals from various public and private sector organizations across the country;
  • Assisting in the writing, assembly, and submission of proposals;
  • Monitoring the completion of project tasks;
  • Establishing and maintaining electronic filing consistency, timelines, and frequency;
  • Ensuring adherence to corporate quality processes and identifying deviations;
  • Analyzing data for presentation to Senior Management and Executives as required;
  • Prioritizing and communicating challenges regarding task completion both individually and within teams;
  • Documenting and following up on tasks and project milestones;
  • Performing additional duties as necessary.

External Support:

  • Identifying consulting needs and directing inquiries to the appropriate practice area leads or teams;
  • Retrieving historical records;
  • Maintaining courteous and professional communication through various channels;
  • Ensuring a smooth and positive experience for clients.

Qualifications

The ideal candidate will be a collaborative team player, self-driven, and able to operate with minimal supervision in a fast-paced environment with competing priorities. Additional qualifications include:

  • A minimum of a secondary school diploma, with post-secondary education or courses in Business Administration or a related field preferred;
  • Exceptional organizational and time management abilities to adapt to shifting priorities and manage multiple tasks to support a diverse group of technical staff and managers;
  • A strong customer service focus with a commitment to client satisfaction;
  • Capability to perform detail-oriented tasks accurately and independently;
  • A general interest in building construction, operations, and assessments;
  • High proficiency in MS Word, Outlook, Excel, and PowerPoint;
  • Familiarity with Office365, MS Teams, or Deltek is advantageous;
  • Excellent verbal and written communication skills in English, with proficiency in French considered a plus;
  • A willingness to collaborate in a team environment, supporting colleagues and contributing to the team's overall goals;
  • Ability to manage pressure during tight deadlines and busy periods;
  • Possession of a valid driver's license and access to a vehicle with valid registration and insurance.
