Position Overview

In the role of Engineering Services Coordinator, you will often be the initial point of contact for both new clients and existing clients seeking additional services. Your key responsibilities will include preparing proposals and maintaining internal documentation. Leveraging our established, template-based approach, you will create proposals that cater to the diverse needs of various stakeholders across the region.

You will be tasked with reviewing and understanding requests for proposals (RFPs) from a wide array of sources, assisting management in crafting accurate and comprehensive responses. This position demands exceptional attention to detail, strong organizational abilities, and the capacity to perform under tight deadlines.

Your responsibilities will range from quick confirmations of standard service requests to extensive preparation, editing, and management of supplementary documents. The ideal candidate will tackle these challenges with professionalism and enthusiasm, ensuring our responses consistently uphold our high service standards and dedication to quality.

This position offers a hybrid work model, with the primary office location being in Woodbridge, ON.

Key Responsibilities

As a vital member of our Building Services team, you will contribute significantly to our operations by providing technical support. Your responsibilities will include, but are not limited to:

Internal Support:

  • Preparing regular proposals for condominium reserve fund study updates and tailored proposals for engineering service opportunities;
  • Assisting in report preparation, documenting meeting minutes, creating presentations, and conducting research;
  • Responding to RFPs from various public and private sector organizations;
  • Aiding in proposal writing, assembly, and submission;
  • Monitoring project task completion;
  • Establishing and maintaining electronic filing systems, ensuring consistency and timeliness;
  • Adhering to corporate quality processes and identifying deviations;
  • Analyzing data for presentation to senior management as required;
  • Prioritizing and communicating challenges related to task completion;
  • Keeping track of tasks and project milestones;
  • Performing additional duties as necessary.

External Support:

  • Identifying consulting needs and directing inquiries to the appropriate teams;
  • Retrieving historical records;
  • Maintaining professional communication via phone, email, and mail;
  • Ensuring a seamless and positive experience for clients.

Qualifications

The ideal candidate will be a proactive team player, self-driven, and capable of working independently in a fast-paced environment. Additional qualifications include:

  • A minimum of a secondary school diploma, with post-secondary education in Business Administration or a related field preferred;
  • Strong organizational and time management skills to manage multiple tasks effectively;
  • A customer-focused mindset with a commitment to client satisfaction;
  • Ability to perform detail-oriented tasks with accuracy and independence;
  • A general interest in building construction and operations;
  • Proficiency in MS Word, Outlook, Excel, and PowerPoint; familiarity with Office365, MS Teams, or Deltek is an asset;
  • Excellent verbal and written communication skills in English; proficiency in French is a plus;
  • A collaborative spirit, willing to assist team members and contribute to collective goals;
  • Ability to thrive under pressure during busy periods;
  • A valid driver's license and access to a vehicle with appropriate registration and insurance.
