- Ensure tenant satisfaction and loyalty through exceptional customer service initiatives and effective communication with tenants. Respond promptly to inquiries and requests through formal correspondence, email, phone, and/or regular meetings;
- Manage the coordination of incoming and outgoing commercial tenancies, with an understanding of residential move-in, move-out, and annual condition inspections for team support;
- Prepare annual operating and capital budgets; regularly review monthly financial statements to identify variances and trends that may require attention, and report as necessary;
- Develop and maintain processes and procedures related to property reporting.
- Supervise the residential manager and maintenance team to ensure task and project completion;
- Ensure timely collection of rent and other receivables in accordance with lease agreements and established company policies;
- Establish, maintain, and monitor property-specific preventative maintenance programs; recommend, coordinate, and execute planned capital improvement initiatives;
- Solicit quotations from vendors, provide informed recommendations, and issue purchase orders as needed;
- Possess a strong understanding of maintenance and repairs, as well as health and safety regulations;
- Conduct routine inspections of properties to ensure a consistent standard of care in alignment with company objectives;
- Secure properties by engaging security services; installing and maintaining security systems; establishing and enforcing precautionary policies and procedures; responding to emergencies;
- Oversee contract administration; ensure fair management of lease agreements and service contracts;
- Identify and assess underperforming properties and develop/implement strategies to enhance their performance;
- Be available for after-hours emergency response outside of regular business hours;
- Perform other duties as assigned by the Director, Property Management.
- 3-5 years of experience in commercial property management;
- 2-3 years of experience in residential property management; experience in strata management is a plus;
- Formal education and/or property management certifications are preferred;
- Knowledge of general accounting practices, financial analysis, capital planning, budgeting, and reporting;
- Experience in contract negotiation and administration is preferred; project management skills are an asset;
- Ability to manage multiple tasks and adjust priorities as needed;
- A proactive and collaborative approach to problem-solving, with a focus on finding solutions;
- Adaptability to various competing demands while demonstrating a high level of client service and responsiveness.
- Proficiency in Microsoft Word and Excel; experience with property management/accounting software is beneficial;
- Occasional travel may be necessary.
