Job Summary

We are seeking a highly skilled and experienced Assistant Director to join our team at The Salvation Army. As a key member of our leadership team, you will be responsible for overseeing the day-to-day operations of our shelter programs, building relationships with residents, and providing support to the Intake team.

Key Responsibilities
  • Supervise and provide direction to Hostel/Residential Supervisors, ensuring compliance with established policies and procedures.
  • Conduct regular supervision sessions, probationary and annual performance reviews, and evaluations.
  • Chair and minute regular team meetings, providing a clear and concise summary of discussions and actions.
  • Provide backup support to Hostel/Residential Supervisors and their functions as required.
  • Oversee the day-to-day operation of the Hostel, ensuring clients receive proper customer service and support.
  • Provide direct consultation, referral, and supportive case management to clients, addressing their unique needs and challenges.
  • Review incident reports, making necessary follow-up and notations on client files.
  • Assist with monitoring disciplinary/penalty assessments imposed on clients, ensuring compliance with shelter policies.
  • Liaise with hospitals and community service agencies to coordinate discharges to the shelter.
  • Participate in the development, planning, and coordination of all programming activities and special events, working closely with the Director.
  • Assist the Director with community and city complaints, providing a clear and concise summary of issues and actions.
  • Provide backup support and make decisions in the absence of the Director, ensuring continuity of operations.
  • Assist with staff recruitment, selection, and onboarding, ensuring a smooth transition for new employees.
  • Recommend disciplinary actions, including termination, in concert with the Director.
  • Organize and assist with staff training, ensuring compliance with shelter policies and procedures.
  • Manage time off, lieu time, and schedule requests, ensuring accurate and timely processing.
  • Participate in Labour Management meetings, providing a clear and concise summary of discussions and actions.
Managerial/Technical Responsibilities
  • Compile monthly shelter statistics for submission to the Director, ensuring accuracy and timeliness.
  • Assist the Director in ensuring the shelter complies with and meets the standards for Quality Assurance and Accreditation.
  • Attend committee, conferences, and agency meetings as directed by the Director, providing a clear and concise summary of discussions and actions.
  • Schedule and chair meetings, prepare agendas, take, and circulate minutes for the shelter as directed by the Director.
  • Assist in the development and implementation of shelter policies and procedures, ensuring compliance with shelter standards.
  • Assist with planning and facilitation of staff outings and events, ensuring a positive and inclusive experience for all employees.
  • Conduct tours of the building for groups or individuals, providing a clear and concise overview of shelter operations.
  • On-call duties, ensuring prompt and effective response to shelter needs.
  • Assist with residents' meetings, providing a clear and concise summary of discussions and actions.
Financial and Materials Management
  • Approve daily bi-weekly payroll for Hostel/Residential Supervisors, Intake Workers, and Dining Room Attendants, ensuring accuracy and timeliness.
  • Assist with the preparation of yearly budgets for all funding bodies and funding applications, ensuring accuracy and compliance with shelter standards.
  • Assist with monitoring financial expenditures, ensuring compliance with annual budget projections.
Working Conditions
  • This is a full-time position working 40 hours per week, with regular working hours and occasional evening or weekend shifts.
  • Work is performed in an emergency housing facility, subject to high client levels of stress and crisis intervention will be required.
  • There will be exposure to dirt, bodily fluids, bodily waste, drugs and alcohol, noise, dealing with angry and abusive people, verbal abuse, and odours.
Qualifications and Education Requirements
  • Minimum 2-year Diploma in Human Services or equivalent, with a strong understanding of shelter operations and client needs.
  • Certificate in First Aid/CPR, Crisis Intervention, and CPI, with a strong commitment to client safety and well-being.
  • Alternative combinations of education and experience may be considered, with a strong emphasis on relevant work experience and skills.
Experience and Knowledge
  • Minimum five years of significant work-related experience, including supervision, coaching, and mentoring of employees, with a strong emphasis on shelter operations and client needs.
  • Experience working with extremely marginalized homeless people, with mental health problems, addictions, concurrent disorders, and familiarity with a wide variety of resources in the Greater Toronto area.
Skills and Capabilities
  • High level of comfort working within an extreme diverse and multicultural environment, with a strong commitment to client safety and well-being.
  • Superior written skills and a high level of proficiency with the Internet and Microsoft Office 365, with a strong emphasis on effective communication and documentation.
  • The responsibilities associated with this position demand a high degree of confidentiality, with a strong commitment to maintaining client confidentiality and respecting client boundaries.
  • Ability to undergo applicable screening and background checks successfully, with a strong commitment to maintaining a safe and respectful work environment.
