EXIT Realty Group is in search of a Financial Operations Administrator. This position plays a crucial role in empowering agents to achieve their maximum potential by aligning business objectives with the company's mission and core values. The ideal candidate will possess a diverse skill set, functioning as a comprehensive accountant, human resources administrator, and reporting expert. Experience in the real estate sector is highly preferred.

Accounts Management

  • Oversee accounts receivable processes and ensure timely collection of agent accounts
  • Generate accounts receivable reports as needed
  • Manage accounts payable processes
  • Input accounts payable data into the financial system
  • Present invoices and necessary documentation to the Broker of Record for final approval
  • Prepare checks and electronic payments for agents upon the completion of real estate transactions
  • Communicate with vendors as required
  • Produce accounts payable reports as necessary

Daily Banking Operations

  • Compile daily deposit records and input daily deposits
  • Deliver deposits to the banking institution
  • Conduct daily bank reconciliations

Payroll Administration

  • Oversee payroll processes for staff members
  • Prepare and enter payroll data for review each pay cycle
  • Generate payroll statutory reports (EHT, WCB) and payroll journal entries

Month-End and Year-End Procedures

  • Coordinate month-end closing activities
  • Manage month-end procedures and ensure account balancing
  • Prepare balance sheet, bank, and credit card reconciliations
  • Compile monthly internal financial statements and reports for review by the Broker of Record
  • Assist in the preparation of year-end working papers
  • Prepare and dispatch audit confirmation letters
  • Support the preparation and entry of annual budgets into the financial system
  • Maintain all accounting and payroll filing systems, including payroll remittances and HST

Reporting Responsibilities

  • Generate transaction reports for the team, ensuring a clear understanding of the data and retrieval methods
  • Develop scorecards and metrics for tracking business objectives

Required Qualifications

  • At least 2 years of experience in full-cycle accounting and payroll
  • Proficient in advanced Excel/Sheets
  • Familiarity with Quickbooks Online
  • Strong prioritization skills
  • Adaptable and flexible work approach
  • Enthusiastic about learning and development
  • Ability to analyze, enhance, and streamline processes
  • Proactive attitude with a focus on achieving positive outcomes
  • Excellent interpersonal skills, capable of collaborating with a diverse range of internal and external stakeholders
