About the Role

We are seeking a highly skilled Senior Estimator to join our team at Flat Iron Building Group Inc. as a key member of our Project Management Department. The successful candidate will be responsible for managing the budget and tender process end-to-end, ensuring proactive communication with the project team, and leading the setup and distribution of tenders.

Key Responsibilities
  • Scheduling and Analysis
    • Assist in establishing project benchmarks and target costs with the owner, and be responsible for forecasting and analysis, identifying associated risks and opportunities, and performing cost risk analysis.
    • Ensure subcontractors comply with company estimation requirements, conduct quantity surveying and verification of qualification developed by subcontractors, and ensure a smooth flow of reporting from subcontractors to management systems.
  • General Tender and Submission
    • Develop estimating models, tools, and best practices, and continuously strive to stay abreast of new methodology. Estimate and budget for hard bid, design/build, and construction management proposals, including material prices, labor costs, and equipment costs based on drawings and specs, and submit proposals.
    • Prepare a pre-tender checklist detailing the scope, nature of the project, dates, partners, etc., and use this document to manage the tender and communicate internally to the team the nature of the project.
    • Enter all new tenders into SharePoint and Procore using a standardized format and complete all fields to allow for accurate reporting.
    • Calendar all walk-throughs, question deadlines, and bid closings, being clear and proactive in determining who is required to attend walk-throughs or deliver tenders.
    • Review all tender documentation and drawings, ensuring a full understanding of the scope and being accountable for the accuracy and timeliness of tender submissions.
    • Prepare draft trade lists and receive approval from the Senior Estimator and/or CEO prior to issuing tenders.
    • Attend pre-bid meetings/walk-throughs to confirm the scope of work and proposal submission requirements, utilizing the walkthrough checklist form for all walkthroughs, highlighting existing conditions for consideration in the tender.
    • Send tender packages through Procore to select trades.
    • Call the invited trades a day after sending out the bid invite and update Procore with 'intent to bid,' highlighting coverage issues to the Senior Estimator so additional trades can be invited.
    • Review scope, create quantity take-offs, and complete full sub-analysis of assigned tenders, sending scope analysis to the trades. Involved in quantity take-offs, sub-trade/supplier tender packages, risk assessment, and works with the PM team to draft preliminary project schedules.
    • Gather and file all RFIs during tender, requesting responses from the Designer/Architect and providing responses to the sub-trades.
    • Prepare the bid form, envelopes, and any bonding, COI, or WSIB requirements.
    • Set up budget templates to reflect the scope in preparation for tender submissions.
    • Draft the proposed GCs and Mark Up for approval by the Senior Estimator.
    • Call the trades again two days before bid closing date.
    • Assist in bid closing by calling the trades, completing the budget spreadsheet, clarifying scope, and following up for bids, being responsible for the final submission.
    • On award, send an immediate notice of the new project to the head of PM, Head of Sites, President, and CEO.
    • Schedule an internal kick-off meeting to happen within three days of award, including the pre-tender checklist, drawings, and walkthrough checklist.
    • Issue all POs for awarded tenders, copying the PM, Site Supervisor, and Accounting, focusing first on the immediately required trades with completion of all POs within ten days, printing a copy and providing to accounting.
    • Prepare and lead the internal turnover meeting with the PM and Site team, including providing copies of drawings, pre-tender checklist, and walkthrough checklist.
    • Prepare the SOV and Budget and upload to Procore (future) to ensure clarity of financial expectations of the project and allow for invoicing.
  • Construction Management Projects
    • Work closely with the project management team to proactively create budgets, provide backup on costing, and complete option analysis to achieve client budgets.
    • Prepare Class D, C, and B budgets as required for CM opportunities, ensuring vetting and review with the Senior Estimator and project team, with PMs distributing to clients.
    • Set up tenders' folders in SharePoint and manage the entire tender process for all CM bids, working with the Senior Estimator to determine overall strategy and approach.
    • Attend client meetings as required with the PM team to review budgets and tender documents and results.
    • Prepare pre-tender checklists and draft trade lists for review with the project team and approval by the Senior Estimator.
    • Draft all tender bid packages and instructions to bidders, including bid forms, and ensure the PM receives client approval prior to issuing.
    • Prepare and complete bid leveling and review with the project team, including likely involvement in client presentation of results.
    • Coordinate and attend all trade walk-throughs prior to tender.
    • Copy the Project Manager on all RFIs during tender so they are aware of questions.
    • On award, send an immediate notice of the new project to the head of PM, Head of Sites, President, and CEO.

  • General
    • Knowledge of 'Quick Measure' is an asset.
    • Understanding of construction contracts and scheduling at all phases of a construction project, significant knowledge of all project management functions, contract administration, procurement, material control, economics, accounting, labor laws, contract, and legal matters.
    • Knowledge of construction equipment/techniques, drawings/specifications, building materials, and required standards applicable to the discipline.
    • Knowledge of applicable Ontario laws and building codes, basic understanding of construction sequences.
    • Support the Senior Estimator and Project Management Department as required in preparation of budgets, CARs, and/or Purchase Orders for Construction Management Projects.
    • Establish and foster strong business relations with trades and industry partners.
    • Attend and participate in weekly estimating meetings, highlighting issues and challenges with active tenders, suggesting approaches to resolve, and completing actions post-meetings.
    • Develop and maintain excellent relationships with all members of the Flat Iron team.
    • Respond to all phone calls, emails, and texts within two business hours, following up all phone calls with email detailing specific actions and deadlines.
    • Other duties as required.
