Job Overview

We are looking for a skilled Document Management Specialist to oversee the adherence to Document Management protocols within our organization. The successful candidate will collaborate with the Integrated Project Team (IPT) on significant infrastructure projects. This role encompasses the management of documentation for various construction initiatives, ensuring compliance with established procedures and quality standards.

Key Responsibilities:

  • Ensure compliance with Document Management protocols across all projects.
  • Manage the timely processing of all incoming and outgoing documentation.
  • Conduct Quality Assurance and Quality Control (QA/QC) checks on all submissions.
  • Liaise with both internal and external stakeholders to resolve inquiries and issues.
  • Distribute documents for review in accordance with the established review process.
  • Perform regular audits of document submissions and track overdue items.
  • Facilitate bi-weekly meetings with the Document Management Team to ensure adherence to review timelines.
  • Compile status reports and relevant information for management and project teams.

Required Qualifications:

  • At least 5 years of experience in Document Management for large-scale projects within an Electronic Document Management System (EDMS).
  • Proficient in document control processes and methodologies.
  • Familiarity with technical terminology relevant to the industry.
  • Ability to thrive in a dynamic environment and manage pressure effectively.
  • Experience with document control software such as SharePoint, Aconex, and ProjectWise.
  • Capable of working autonomously with minimal supervision while demonstrating initiative and sound judgment.
  • Strong interpersonal skills and a proven ability to work collaboratively within a team.
  • Excellent organizational abilities.
  • Adaptable to shifting priorities and capable of managing multiple tasks efficiently.
