Role Overview

We are currently seeking a Project Management Administrator to support our operations in Brampton, ON. This role is ideal for self-motivated individuals who thrive in a dynamic and growth-focused environment and are eager to enhance their expertise in project and business management.

Key Responsibilities

  • Provide comprehensive administrative support to senior management and key project leaders, overseeing various activities and initiatives.
  • Manage and maintain the calendar for senior management, ensuring efficient scheduling of meetings and appointments.
  • Organize meetings, reserve conference rooms, and assist with all types of gatherings within the department.
  • Attend and document minutes for weekly management meetings, tracking action items and follow-ups.
  • Structure and maintain project documentation by applying standardized templates.
  • Coordinate travel arrangements, including hotel bookings and flight itineraries.
  • Foster a collaborative team environment with a focus on delivering quality outcomes and meeting deadlines.
  • Collaborate with project teams, including engineers and designers, to ensure project timelines are adhered to.
  • Facilitate meetings with various stakeholders, including clients and vendors, to achieve project goals.
  • Assist with onboarding processes for new employees and coordinate office relocations as needed.
  • Support the Records Management system and provide troubleshooting assistance as required.
  • Act as a liaison between departments to ensure effective communication and project execution.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor's degree.
  • Over 5 years of relevant professional experience.
  • Proficient in report and proposal writing, including formatting.
  • Strong oral and written communication skills are essential.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
  • Experience working in internet/intranet and network environments.
  • Self-driven with excellent organizational skills to prioritize tasks effectively.
  • Proven ability to maintain confidentiality in a professional setting.
