Role Overview
We are currently seeking a Project Management Administrator to support our operations in Brampton, ON. This role is ideal for self-motivated individuals who thrive in a dynamic and growth-focused environment and are eager to enhance their expertise in project and business management.
Key Responsibilities
- Provide comprehensive administrative support to senior management and key project leaders, overseeing various activities and initiatives.
- Manage and maintain the calendar for senior management, ensuring efficient scheduling of meetings and appointments.
- Organize meetings, reserve conference rooms, and assist with all types of gatherings within the department.
- Attend and document minutes for weekly management meetings, tracking action items and follow-ups.
- Structure and maintain project documentation by applying standardized templates.
- Coordinate travel arrangements, including hotel bookings and flight itineraries.
- Foster a collaborative team environment with a focus on delivering quality outcomes and meeting deadlines.
- Collaborate with project teams, including engineers and designers, to ensure project timelines are adhered to.
- Facilitate meetings with various stakeholders, including clients and vendors, to achieve project goals.
- Assist with onboarding processes for new employees and coordinate office relocations as needed.
- Support the Records Management system and provide troubleshooting assistance as required.
- Act as a liaison between departments to ensure effective communication and project execution.
- Perform other related duties as assigned.
Qualifications
- Bachelor's degree.
- Over 5 years of relevant professional experience.
- Proficient in report and proposal writing, including formatting.
- Strong oral and written communication skills are essential.
- Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
- Experience working in internet/intranet and network environments.
- Self-driven with excellent organizational skills to prioritize tasks effectively.
- Proven ability to maintain confidentiality in a professional setting.
