Department Overview

The Office of the Registrar offers a variety of essential services to both prospective and current students, serving as the primary source of information regarding enrollment, graduation ceremonies, and significant student dates and events throughout the academic year. Our team is a collaborative group of around 100 professionals, organized into 9 departments: Student Services, Aid & Awards, Student Recruitment, Undergraduate Admissions, Student Records & Systems, Scheduling & Examinations, Student Communications, and Central RO Administration. This dynamic and supportive environment is dedicated to assisting students from their initial contact until their graduation.

Position Summary

We are seeking a Senior Associate Registrar for Aid & Awards who will leverage a diverse set of specialized skills to advance the strategic objectives of the Office of the Registrar. The Aid & Awards department plays a crucial role in connecting students with government financial assistance, scholarships, work programs, and bursaries, making higher education more accessible while recognizing students' academic and extracurricular achievements. The Senior Associate Registrar will exhibit strategic leadership at a senior management level, overseeing a team of approximately 12 professionals in the Aid and Awards sector.

Key Responsibilities

  • Collaborate closely with the Registrar, fellow Senior Associate Registrars, and senior academic leaders to establish a policy and operational framework that enhances the student experience and academic administration across the institution.
  • Provide strategic direction and leadership for the Aid & Awards department, ensuring alignment with university policies and priorities.
  • Manage a substantial budget for Undergraduate Scholarships and Bursaries, ensuring compliance with all relevant policies and regulations.
  • Work with various university stakeholders to identify needs related to the academic mission and develop strategic solutions that benefit students, faculty, and staff.
  • Oversee the administration of financial aid programs, ensuring effective communication and support for over 15,000 applications annually.
  • Lead initiatives to enhance operational processes through technology, ensuring efficient service delivery and compliance with applicable regulations.
  • Represent the university in external forums and working groups, advocating for policy improvements in student financial aid.

Human Resources Management

  • Design and maintain the organizational structure of the department, managing budgetary needs and staffing requirements.
  • Recruit, train, and evaluate a diverse team of professionals, ensuring high standards of performance and service delivery.
  • Foster a positive work environment that promotes staff morale and adherence to university policies.

Qualifications

  • A minimum of an undergraduate degree.
  • 5-7 years of experience in management roles within a related field.
  • Strong strategic leadership and management capabilities, preferably in a unionized environment.
  • Extensive knowledge of information technology systems, particularly ERP applications.
  • Demonstrated ability to navigate complex operational environments and manage multiple stakeholders effectively.
  • Excellent communication, organizational, and problem-solving skills.
