Department Overview

The Office of the Registrar offers a variety of essential services to both prospective and current students, serving as the primary source of information regarding enrollment, graduation ceremonies, and significant student dates and events throughout the academic year. Our collaborative team consists of approximately 100 professionals distributed across nine departments, including Student Services, Aid & Awards, Student Recruitment, Undergraduate Admissions, Student Records & Systems, Scheduling & Examinations, Student Communications, and Central RO Administration. This dynamic and supportive environment fosters teamwork to assist students from their initial contact with McMaster until their graduation.

Position Overview

We are seeking a Senior Associate Registrar for Aid & Awards who will leverage a range of specialized skills to advance the strategic objectives of the Office of the Registrar. The Aid & Awards department plays a crucial role in connecting students with government financial assistance, scholarships, work programs, and bursaries, thereby enhancing access to post-secondary education and acknowledging students' academic, extracurricular, and community contributions. The Senior Associate Registrar will exhibit strategic leadership at a senior management level, overseeing a team of approximately 12 professionals in the Aid and Awards sector.

Key Responsibilities

  • Collaborate closely with the Registrar, fellow Senior Associate Registrars, and senior academic leaders to establish a policy and operational framework that enhances the student experience and academic administration across the institution.
  • Provide strategic direction and leadership for the Aid & Awards department, ensuring alignment with university policies and priorities.
  • Manage a substantial budget, including a $17 million operating budget for Undergraduate Scholarships and Bursaries and $5 million in annual expenditures from around 1200 trust funds.
  • Analyze trends in financial aid and retention to inform strategic decisions that positively impact student success.
  • Oversee the administration of over 15,000 OSAP applications annually, ensuring compliance with relevant policies and regulations.
  • Facilitate communication and collaboration among various university stakeholders to ensure consistent application of registrarial policies.
  • Lead initiatives that identify emerging needs and trends, developing timely and effective programs or services to address them.
  • Direct the security access to student information systems, ensuring appropriate access for the university community.

Human Resources Management

  • Design and maintain the organizational structure of the department, forecasting and managing budgetary needs.
  • Recruit, train, and evaluate a diverse team of staff, ensuring effective performance management processes are in place.
  • Monitor departmental performance to assess the effectiveness of strategies and plans.

Qualifications

  • A minimum of an undergraduate degree.
  • 5-7 years of experience in management roles within a related field.
  • Strong strategic leadership and management skills, particularly in a unionized environment.
  • Proficient understanding of information technology systems, especially ERP applications.
  • Demonstrated ability to generate innovative solutions to complex challenges.
  • Excellent communication skills, both written and verbal.
