Position Overview

We are in search of a meticulous and proactive bilingual Payroll Administrator to enhance our finance department in Montreal, ensuring the precision and timeliness of payroll operations.

The Payroll Administrator will oversee payroll processing for all personnel, guaranteeing adherence to company protocols and North American legislation. This position demands a comprehensive understanding of payroll systems, outstanding organizational capabilities, and the capacity to manage sensitive data with confidentiality.

Reporting to: Financial Controller

Collaborates with: HR, Employees

Key Responsibilities
  • Process bi-weekly payroll for all employees in Canada and the US, including salaried, hourly, and contractor payments.
  • Collect, verify, and audit timesheets for accuracy and rectify any discrepancies.
  • Stay informed on payroll regulations, ensuring compliance with labor laws, tax requirements, and internal policies.
  • Maintain and update employee payroll records, reflecting changes in compensation, benefits, and other relevant details.
  • Prepare and submit payroll tax documentation, including quarterly and annual filings, while managing withholdings and ensuring timely tax payments.
  • Handle benefits enrollment and deductions, including health insurance, retirement plans, and other employee benefits.
  • Conduct regular reconciliations of payroll accounts and insurance invoices, addressing any inconsistencies. Generate and review payroll reports for accuracy.
  • Address employee inquiries regarding payroll, benefits, and deductions, providing clear and timely support.
  • Maintain and enhance payroll software and systems, collaborating with HR and system representatives to ensure operational efficiency.
Qualifications
  • A minimum of 5 years of experience in payroll processing or a related field. Familiarity with ADP Workforce Now is advantageous.
  • Thorough understanding of payroll processes, tax regulations, and employment laws.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Effective communication and problem-solving abilities.
  • Capability to manage confidential information with integrity.
  • Experience with ERP systems.
  • Knowledge of project-based industries is beneficial.
  • Able to thrive in a fast-paced, multi-project production setting.
  • Ability to work collaboratively with diverse team members.
  • CPP (Certified Payroll Professional) or equivalent certification is preferred.
