The Role:

We are seeking a dedicated Mailroom & Imaging Administrator to enhance our Operations team. This role is pivotal in ensuring the seamless distribution of mail and faxes across all departments within Aviso Wealth.

Key Responsibilities:

  • Receive, prepare, verify, and digitize all incoming documents, including cheques, faxes, and emails.
  • Accurately route documents to the appropriate departments.
  • Assist in organizing and locating original documentation.
  • Adhere to established protocols when processing requests.
  • Demonstrate a willingness to learn various functions within the team.
  • Support different departments by ensuring timely document distribution.
  • Manage outgoing mail and couriers using Canada Post, FedEx, and Purolator.
  • Process and distribute incoming cheques efficiently.
  • Utilize relevant systems (Laserfiche, OSM, and Dataphile) in compliance with company policies and industry regulations.
  • Maintain clear and concise notes in systems, ensuring all information is up-to-date.
  • Keep internal manuals current with changes in policies and regulations.
  • Communicate effectively with peers and supervisors regarding daily activities and any arising issues.
  • Provide backup coverage for team members during absences.
  • Track documentation and report daily activities to the Supervisor.

Qualifications:

The ideal candidate will possess:

  • A High School Diploma.
  • A minimum of 1 year of experience in an office setting.
  • Fluent communication skills in English; bilingualism in French is an asset.
  • The ability to work independently and collaboratively to meet objectives.
  • Self-motivation and a results-oriented mindset.
  • Strong attention to detail and accuracy.
  • Excellent organizational, time management, and administrative skills.
