Mailroom Operations Coordinator

The Role:
We are seeking a dedicated Mailroom & Imaging Administrator to enhance our Operations team. This role is pivotal in ensuring the seamless distribution of mail and faxes across all departments within Aviso Wealth.
Key Responsibilities:
- Receive, prepare, verify, and digitize all incoming documents, including cheques, faxes, and emails.
- Accurately route documents to the appropriate departments.
- Assist in organizing and locating original documentation.
- Adhere to established protocols when processing requests.
- Demonstrate a willingness to learn various functions within the team.
- Support different departments by ensuring timely document distribution.
- Manage outgoing mail and couriers using Canada Post, FedEx, and Purolator.
- Process and distribute incoming cheques efficiently.
- Utilize relevant systems (Laserfiche, OSM, and Dataphile) in compliance with company policies and industry regulations.
- Maintain clear and concise notes in systems, ensuring all information is up-to-date.
- Keep internal manuals current with changes in policies and regulations.
- Communicate effectively with peers and supervisors regarding daily activities and any arising issues.
- Provide backup coverage for team members during absences.
- Track documentation and report daily activities to the Supervisor.
Qualifications:
The ideal candidate will possess:
- A High School Diploma.
- A minimum of 1 year of experience in an office setting.
- Fluent communication skills in English; bilingualism in French is an asset.
- The ability to work independently and collaboratively to meet objectives.
- Self-motivation and a results-oriented mindset.
- Strong attention to detail and accuracy.
- Excellent organizational, time management, and administrative skills.
