Job Summary

We are seeking a highly organized and detail-oriented Tenders & Contracts Specialist to join our team at Olympus. The successful candidate will be responsible for managing the entire contract lifecycle, from tendering to contract administration.

Key Responsibilities
  • Tender Management: Identify and pursue new business opportunities through tendering sites, review sales and corporate agreements, and set up sales and service contracts.
  • Contract Administration: Draft, process, and enter sales and service contracts into SAP, Sales Force, and Contract database.
  • Risk Management: Markup tender forms of agreements to minimize risk and communicate contract expiry and renewal needs to relevant stakeholders.
  • Contract Tracking: Monitor all active sales and service contracts, ensuring system visibility and logging are complete.
  • Customer Support: Respond to customer inquiries about pricing discrepancies and provide timely support.
  • Tender Research: Conduct daily research on tender websites and other sources to identify new business opportunities.
  • Lead Distribution: Distribute leads to sales representatives and regional sales managers.
  • Tender Log Management: Maintain the tender log, ensuring all timelines are met.
  • Tender Assembly: Assemble tenders by gathering necessary information and approvals, printing, and binding documents as required.
  • Contract Pricing: Enter and update sales and service contracts, reviewing new contracts for completeness and approvals.
  • Process Improvement: Work closely with department management to develop work schedules, balancing workload and work complexity.
  • Pricing Data Verification: Manage the process for pricing data verification to ensure accuracy.
Requirements
  • Education: College or university degree in business or equivalent experience.
  • Experience: Minimum of 2 years of experience in contracts and tenders.
  • Physical Requirements: Ability to lift up to 10lbs for tender submission purposes.
Preferred Qualifications
  • Organizational Skills: Strong organizational skills, adjusting priorities to meet deadlines.
  • Attention to Detail: Strong attention to detail and computer skills (Word, Excel, Email, etc.).
  • Communication Skills: Excellent verbal, written, and listening skills in English.
  • Mathematical Skills: Good mathematical skills.
  • Teamwork: Must be a team player.
  • Language Skills: Verbal, written, and listening skills in French an asset but not necessary.
  • Risk Management: Risk management of tenders/quotes to minimize company exposure.
  • Adaptability: Works well under pressure, adapts to change, able to multitask, and follows instructions per processes and direction given by teammates.
  • Previous Experience: Previous tender experience in the medical industry preferred.
