Fleet Operations Coordinator

Valard, a leading utility contractor in Canada, is seeking a highly organized and detail-oriented Fleet Administrator to join their Support Services team. As a key member of the team, you will provide administrative support for all aspects of fleet requirements, ensuring seamless operations and efficient management of company assets.
Responsibilities:- Maintain accurate records of rental contracts, including terms and conditions, and notify relevant parties of contract expirations.
- Generate purchase orders for rental equipment and ensure timely payment and return of units.
- Monitor and update rental equipment purchase orders in JDE, ensuring compliance with company policies and procedures.
- Communicate with rental suppliers to resolve issues and negotiate contracts.
- Assist in the selection of rental equipment suppliers, comparing costs and services.
- Process rental damage claims, working with project teams and fleet accounting to ensure accurate and timely resolution.
- Manage on-site fleet equipment trackers, monitoring acquisition, rental damages, and returns.
- Update and report rental equipment status in JDE, taking action on returned units.
- Support fleet supervisor with administrative tasks, including meeting coordination and documentation.
- Collaborate with fleet accounting and fixed assets team to ensure accurate classification and accounting treatment of rental expenses.
- Track and manage fleet unit certifications, ensuring compliance with regulatory requirements.
- Generate and close work orders in JD, and perform related receiving functions.
- Scan and add completed work orders to Fleet MFiles vault or current database.
- Review unit binders, ensuring all documentation is complete and current.
- Issue fuel cards as required.
- Collect and forward documents to the Corp Fleet group as needed.
- Receive and coordinate distribution of time and regulatory documents, including annual vehicle insurance and IFTA/Prorate documentation.
- Create mechanic personnel timesheets in mVolts.
- Work closely with Shop Supervisors to ensure all relevant Fleet documents and administrative tasks are managed.
- Manage various spreadsheets and reporting tasks.
- Assist Fleet Support Services Management with assigned tasks and projects.
- 3-5 years' experience in office administration, with fleet background an asset.
- College diploma or equivalent, an asset.
- No professional designation required.
