Administrative Coordinator for Geriatric Psychiatry

Position Overview:
The Royal Mental Health Centre is seeking a dedicated professional to provide comprehensive administrative and secretarial assistance within the Geriatric Psychiatry Program. This role is essential in ensuring smooth operations and effective communication across various levels of the organization.
Key Responsibilities:
- Deliver high-quality administrative support to clinicians, Program Directors, and Clinical Directors.
- Manage general office tasks, including reception duties, filing, photocopying, and handling inquiries via phone, fax, and email.
- Transcribe clinical reports and correspondence accurately using advanced word processing software.
- Maintain current knowledge of the Program to facilitate effective communication and information distribution.
- Organize and coordinate meetings, preparing necessary materials, agendas, and minutes.
- Act as the primary contact for centralized room booking and telecommunication systems.
- Develop and implement efficient procedures to support program activities, utilizing technology for electronic file management and scheduling.
- Assist in the procurement of office supplies and materials, including requisition preparation.
- Support financial processes, including reimbursement requests and payroll documentation.
- Contribute to audits related to payroll and staff leave management.
- Facilitate staffing and personnel functions through necessary paperwork.
- Provide backup support for other secretarial roles as needed.
- Adhere to safety practices and policies to ensure a secure work environment.
- Promote a workplace culture aligned with the organization's commitment to diversity and inclusion.
- Perform additional duties as assigned.
Qualifications:
- Completion of OSSD or equivalent educational qualifications.
- Office Administration certification or diploma, or a relevant combination of education and experience (minimum of two years in a medical office setting).
- Typing proficiency of at least 40 net words per minute.
- Dictation skills and familiarity with basic financial concepts.
- Experience in Geriatric Psychiatry is advantageous.
- Strong communication, organizational, and problem-solving abilities.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Demonstrated initiative, judgment, and adaptability.
- Commitment to ongoing professional development and quality improvement.
- Ability to work collaboratively within a team environment.
- Proficiency in Microsoft Office Suite and standard office equipment.
- Bilingual proficiency in French and English is required, with specific language competencies in both oral and written forms.
Compensation: The salary range for this position is between $30.97 and $33.64 per hour.
