POSITION SUMMARY: Under the supervision of the Child Welfare Supervisor, the Volunteer Coordination and Transportation Specialist is tasked with delivering administrative support to the volunteer department, ensuring smooth and timely operations while enhancing the organization's mission. The role includes orienting new volunteers and serving as a point of contact for volunteer-related activities.

KEY RESPONSIBILITIES
Transportation Management:
  • Oversees requests for volunteer assignments and allocates drivers to transport children and families to various appointments, ensuring needs are met efficiently.
  • Handles modifications and cancellations in transportation schedules, ensuring clear communication with drivers.
  • Collaborates with foster parents, social workers, educational institutions, and volunteers to coordinate transportation logistics.
  • Maintains a comprehensive database of volunteer drivers, including their availability and any restrictions.
  • Monitors agency property, such as car seats, utilized by volunteers.
  • Addresses and documents any complaints or inquiries regarding volunteer performance, reporting issues to the Supervisor.
  • Conducts training sessions for volunteers on car seat safety and usage.
  • Provides guidance and support to volunteer drivers, ensuring they are informed about agency policies and legislative updates regarding safety.
  • Compiles statistics related to the transportation program for monthly reporting.

Administrative Duties:
  • Offers administrative assistance, including processing volunteer applications, data entry, and managing confidential information.
  • Responds to inquiries via phone or email, directing messages and providing necessary information.
  • Assists in the preparation and maintenance of volunteer records and documentation.
  • Supports the volunteer department in audits and compliance reviews.
  • Facilitates the distribution of information through various channels.
  • Organizes and processes volunteer-related documents and files.
  • Develops and maintains forms and manuals for the volunteer department.
  • Ensures timely and accurate processing of all volunteer paperwork.
  • Contributes to the development and implementation of the volunteer services plan, ensuring effective service delivery.
  • Helps organize public relations events related to volunteer recognition.

Data Management:
  • Establishes and maintains filing systems, both electronic and manual, ensuring confidentiality and accessibility of records.
  • Inputs data and maintains databases, generating reports as needed.
  • Keeps mailing lists up to date.
Relationship Building:
  • Exhibits behaviors that align with the values and mission of FACS.
  • Fosters collaborative relationships internally and externally to enhance trust in services provided.
Team Engagement:
  • Actively participates in team meetings and training sessions.
  • Collaborates with team members to meet the needs of the department and the families served.
Additional Responsibilities:
  • Assists with various volunteer coordination tasks as directed by the Child Welfare Supervisor.
  • Provides basic technical support for office equipment and software.
  • Adheres to all relevant policies and procedures.
  • Strives for continuous improvement in all activities.
  • Engages in ongoing education to enhance skills and knowledge.
  • Participates in the training of peers.
  • Complies with health and safety regulations.
  • Performs other duties as required.
QUALIFICATIONS:
  • Secondary School diploma.
  • Experience with volunteer management is an asset.
  • Current certification as a Car Seat Technician.
  • Valid G Driver's License and access to a reliable vehicle with appropriate insurance.
KNOWLEDGE AND SKILLS REQUIRED:
  • Proficient in MS Office applications.
  • Strong written and verbal communication skills.
  • Detail-oriented with the ability to manage multiple tasks.
  • Excellent organizational and analytical skills.
  • Self-motivated with strong prioritization abilities.
  • Good customer service skills.
  • Commitment to quality service and best practices.
  • Ability to handle sensitive information confidentially.
  • Capable of meeting tight deadlines.
WORKING CONDITIONS:
  • Primarily office-based work environment.
  • Regular use of computers and phones.

  • Occasional travel may be required.
  • Flexibility to work evenings or weekends as necessary.
