Aviva Trial Lawyers is on the lookout for a dedicated practice assistant to bolster our Accident Benefit Group. In this role, you will play a vital part in assisting our team of attorneys and litigation clerks with various administrative responsibilities related to insurance defence accident benefits cases.
Key Responsibilities:
- Draft and manage correspondence and legal documents that are both technical and confidential, including initial letters to insured parties.
- Prepare fundamental legal documents for attorney review, such as Notices of Intent to Defend, Notice of Change of Lawyer, and LAT Responses.
- Initiate new matter records in Ghost Practice and ACL, ensuring data accuracy.
- Facilitate the swift delivery of incoming communications, including emails, faxes, and mail, to the correct recipients.
- Process payment requests for all team invoices.
- Request filing fees for newly assigned matters.
- Direct incoming files to the appropriate addressees promptly.
- Manage documents, including binding, printing, copying, and creating CDs.
- Compile and organize electronic folders for all new matters assigned to the team.
- Assemble electronic briefs and appropriately name documents according to company standards.
- Monitor and download incoming electronic documents to the correct folders in a timely manner, adhering to established naming conventions.
- Assist with overflow dictation and filing tasks.
- Coordinate scheduling for matters and arrange travel, including flights, cars, and accommodations as necessary.
- Train new hires on the cheque requisition process.
- Prepare closed files for storage shipment.
Qualifications:
- A minimum of 2+ years of experience in legal administration, specifically in insurance defence or accident benefit actions.
- Post-secondary education in legal assistance or equivalent experience is preferred.
- Proficient computer skills, particularly with MS Word, ACL, and Outlook.
- Basic understanding of the Rules of Civil Procedure, Court forms, FSCO, LAT, and the Statutory Accident Benefits Schedule.
- Customer-service oriented with exceptional communication abilities.
- Strong organizational skills and attention to detail, with a proactive approach.
- Able to work independently with minimal supervision as well as collaboratively within a team.
- A mature work ethic complemented by a good sense of humor.
