Property Administrator

First Capital REIT is seeking a highly organized and detail-oriented Property Administrator to join our dynamic property management team based in Saint-Leonard, Montreal. As a key member of our team, you will be responsible for providing administrative support to our property managers, ensuring the smooth operation of our retail and mixed-use properties.

Key Responsibilities:
  • Provide administrative support to the property management team, including accounts receivable and payable processing, budgeting, and supplier invoicing.
  • Conduct monthly rent-roll reviews and pre-authorized debit reports.
  • Prepare and process purchase orders, accounts payable invoices, and tenant chargebacks.
  • Manage tenant statements of accounts, account reconciliations, and issue demand, default, or termination notices.
  • Assist with monthly and annual budgets, expense variances, and forecasts.
  • Monitor and track tenant insurance and sales reports, and oversee utility payments and billing.
  • Coordinate tenant move-ins and move-outs, and liaise with the Operations team to dispatch maintenance and security.
  • Participate in special projects and take on other duties as assigned.
Requirements:
  • 1-3 years of administration experience, preferably in commercial or retail property management.
  • Solid understanding of basic accounting principles.
  • Post-secondary education, preferably in business, accounting, or related fields.
  • Fully bilingual in French and English.
  • Excellent communication and problem-solving skills.
  • Strong attention to detail and time management skills.
  • Team-player with a willingness to step in and lend a hand as needed.
