Position Overview:

The Site Administrator for Land Lease plays a crucial role in collaborating with the Community/Operations Manager and the Maintenance team to ensure the smooth operation of the community. This position is responsible for assisting in the daily management of property-related tasks, including the collection of payments, coordination with service providers, and addressing homeowner inquiries. The ideal candidate should be located in the surrounding area, as travel to nearby communities may be necessary. This role is offered as a six-month contract to cover a maternity leave, with the potential for extension.

Key Responsibilities:

Administrative Duties:

Support the operation of the community in alignment with CAPREIT Community Standards to uphold community rules and regulations. Utilize the SAP system for processing purchase orders, creating requisitions, and recording rental payments. Deliver rental payments to the bank as required. Input rental payments into the SAP system and reconcile bank deposits. Assist in managing work orders and communicating them to the maintenance team. Follow up on outstanding requests and tasks. Operate within the assigned budget effectively. Review accounts receivable and generate weekly reports. Collect lot rent while maintaining a zero balance in accounts receivable. Stay informed about local economic and housing market trends. Contribute to a safe working environment by adhering to Health and Safety Policies and reporting incidents as per company guidelines. Be available for on-call duties as assigned and communicate with designated personnel regarding incoming calls.

Community Engagement:

Collaborate with contractors and vendors to ensure timely completion of projects. Assist in inspecting common areas and infrastructure, including roads, landscaping, and utility systems, to ensure proper maintenance and safety. Help in maintaining fire safety documentation and conduct inspections of fire safety systems as needed.

Tenant Relations:

Aim for optimal occupancy levels within the community. Communicate effectively with homeowners regarding leases, payments, and any concerns, ensuring resolution of complaints. Draft tenant notices and letters concerning payments, lease terminations, and community standards for the Operations Manager's review. Conduct interviews with prospective tenants and represent CAPREIT in home sales and lot rentals. Oversee the tenant lease process, including application processing and lease creation. Assist in organizing tenant appreciation events and community activities.

Required Qualifications:

Minimum of 2 years of relevant experience in a similar role. Previous experience in residential property management is highly desirable. Proficiency in computer applications, particularly Microsoft Word, Excel, Outlook, and SAP. Strong decision-making skills, good judgment, and ability to maintain confidentiality. Positive attitude and a genuine interest in customer service. Excellent communication skills and ability to build relationships with colleagues and residents. Effective written and verbal communication abilities. A valid driver's license and reliable transportation may be required for certain locations.
