Position Overview:

The Community Operations Site Coordinator collaborates closely with the Community/Operations Manager and the Maintenance team to ensure the effective functioning of community operations, aiming to meet the performance objectives set for the community. This role involves assisting the Community/Operations Manager with daily property management tasks, including the collection of receivables, coordination with contractors, and addressing homeowner inquiries or concerns. The position is suitable for individuals residing in the area, as it may involve travel to nearby communities. This is a six-month contract position to cover a maternity leave, with the potential for extension.

Key Responsibilities:

General/Office Duties:

Support the operation of the community in alignment with CAPREIT Community Standards to establish and uphold community rules and regulations. Utilize the SAP system for processing purchase orders, creating requisitions, and recording rent payments. Deliver rent payments to the bank as necessary. Input rent payments into the SAP system and reconcile bank deposits. Assist in managing work orders and communicating them to the maintenance team. Follow up on outstanding requests and tasks. Operate within the assigned budget effectively. Review accounts receivable and generate weekly accounts receivable reports. Collect lot rent while striving to maintain a zero balance in accounts receivable. Stay informed about local economic and housing market conditions. Contribute to maintaining a safe working environment by adhering to the Health and Safety Policy and reporting all incidents as per company policy. Be available for on-call duties as assigned and follow up with designated personnel regarding incoming calls.

Community Responsibilities:

Collaborate with contractors and vendors as needed, ensuring that all tasks are initiated and completed within deadlines. Assist in inspecting common areas and infrastructure, including roads, landscaping, tree services, waste management, and community utility systems, to ensure they are maintained effectively and to eliminate potential hazards. Help with filing fire safety documents and conducting bi-annual inspections of all fire safety systems or as required.

Tenant Responsibilities:

Aim for maximum occupancy within the community. Communicate with homeowners regarding leases, rent payments, deferrals, and lease terminations, while satisfactorily resolving any complaints. Draft tenant notices and letters concerning rent payments, potential lease terminations, community standards, and maintenance issues for the Operations Manager's approval and distribution. Interview prospective tenants and represent CAPREIT in the sale of homes and rental of lots. Oversee the completion of the tenant lease process, including application processing, approval, and lease creation. Assist in organizing and implementing tenant appreciation and social events, such as BBQs and Bingo nights.

Required Qualifications:

Minimum of 2 years of relevant experience in a similar role. Previous experience in residential property management is a strong asset. Proficiency in computer software, particularly Microsoft Word, Excel, Outlook, Internet, and SAP. Demonstrated ability to make informed decisions, exercise sound judgment, and maintain confidentiality. A responsible and positive attitude is essential. A genuine interest in customer service and a commitment to assisting homeowners. Strong communication skills and the ability to build relationships with colleagues and residents. Effective written and verbal communication skills. A valid driver's license, clean driving record, and reliable transportation may be required for some locations.
