About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Olive Tree Medical Clinic. As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our medical office.

Key Responsibilities
  • Patient Communication: Interview patients to obtain case histories, ensuring accurate and comprehensive information is collected.
  • Administrative Support: Open and distribute incoming mail and other materials, schedule appointments, and maintain a filing system.
  • Training and Development: Train staff in procedures and software, ensuring they have the necessary skills to perform their duties effectively.
  • Insurance and Claims: Complete insurance and other claim forms, ensuring timely and accurate submissions.
  • Office Management: Determine and establish office procedures and routines, maintaining a efficient and organized work environment.
  • Documentation and Reporting: Enter and format medical reports and correspondence, prepare spreadsheets and documents for review, and maintain confidential medical files and records.
  • Meetings and Minutes: Prepare draft agendas for meetings and take, transcribe, and distribute minutes.
  • Customer Service: Provide exceptional customer service, ensuring patients and staff receive timely and effective support.
Requirements
  • Education: College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Work Setting: Clinic environment.
  • Supervision: 1 to 2 people.
  • Transportation/Travel Information: Public transportation is available.
  • Work Conditions and Physical Capabilities: Work under pressure, attention to detail, and ability to work in a fast-paced environment.
  • Personal Suitability: Accurate, client-focused, efficient interpersonal skills, excellent oral and written communication, flexibility, initiative, judgment, organized, reliable, and team player.
  • Experience: Experience an asset, permanent position, 30 hours per week, and English language proficiency.
