Job Overview

The Event Coordination Manager (ECM) plays a pivotal role in liaising with clients to ensure all setup and catering requirements for conferences, banquets, weddings, and other events are met. This position collaborates closely with the Sales Team to deliver an exceptional experience for guests.

Key Responsibilities

  • Serve as the primary contact for clients hosting conferences, banquets, weddings, and catering events, fostering strong relationships with all departments to guarantee client satisfaction.
  • Engage with clients before and during events to verify details and costs, ensuring that expectations are not only met but exceeded.
  • Communicate insights with the Sales team to nurture client relationships and encourage repeat business.
  • Promote premium food and beverage options, room enhancements, and team-building activities to clients.
  • Develop floor plans and Banquet Event Orders (BEOs) for all room configurations, audio/visual needs, and catering services.
  • Ensure all relevant departments receive BEOs at least 10 business days prior to events.
  • Oversee group room allocations, attrition, and deposit timelines.
  • Monitor and manage reserved function spaces.
  • Support the Sales Team in promoting the hotel as needed.
  • Participate in weekly sales and communication meetings.
  • Maintain daily updates to change logs.
  • Send personalized thank-you notes and feedback forms to group organizers following the conclusion of events.

Qualifications

  • Post-secondary education in Business or Hospitality/Tourism is preferred.
  • 2-4 years of experience in Food & Beverage and event management.
  • Proficient in Microsoft Office and willing to learn new software applications.
  • Strong verbal and written communication skills.
  • Exceptional organizational and time-management abilities.
  • Ability to maintain composure under pressure and during busy periods.
  • Customer service-focused with a keen attention to detail.
  • A collaborative team player who contributes positively to the work environment.
