Job Overview

The Event Services Coordinator (ESC) plays a pivotal role in liaising with clients to confirm all arrangements related to conferences, banquets, weddings, and catering services. This position collaborates closely with the Sales Team to ensure an exceptional experience for guests.

Key Responsibilities

  • Serve as the primary contact for clients hosting conferences, banquets, weddings, and catering events, fostering strong relationships with all departments to guarantee client satisfaction.
  • Engage with clients before and during events to verify details and costs, ensuring that expectations are not only met but exceeded.
  • Communicate vital information to the Sales team to nurture client relationships and encourage repeat business.
  • Promote premium food and beverage options, room enhancements, and team-building activities to clients.
  • Design floor plans and Banquet Event Orders (BEOs) for all setups, including audio/visual and catering needs.
  • Ensure all relevant departments receive BEOs at least 10 business days before the event.
  • Oversee group room allocations, manage attrition, and monitor deposit timelines.
  • Track and manage reserved function spaces effectively.
  • Support the Sales Team in promoting the hotel as required.
  • Participate in weekly sales and communication meetings.
  • Update change logs on a daily basis.
  • Send personalized thank-you notes and feedback forms to the group organizer upon event completion.

Qualifications

  • Post-secondary education in Business or Hospitality/Tourism is preferred.
  • 2-4 years of experience in Food & Beverage and event management.
  • Proficient in Microsoft Office and adaptable to new software.
  • Strong communication and interpersonal abilities.
  • Exceptional organizational and time-management skills.
  • Able to maintain composure under pressure and during high-volume periods.
  • Customer service-oriented with a keen attention to detail.
  • A collaborative team player who contributes positively to the work environment.
