Position Overview:

Under the guidance of the Finance Controller, the Accounts Payable Clerk will manage a variety of responsibilities and execute tasks in a prompt, effective, and efficient manner.

Key Responsibilities:

  • Manage the processing of invoices, travel requests, general expenses, and visa claims within established timelines.
  • Handle electronic payments and manual cheque issuance.
  • Evaluate, monitor, and organize documents for payment processing.
  • Conduct data entry for financial documents, including invoices, requisitions, claims, credit/debit notes, adjustments, reversals, and general ledger reclassifications.
  • Establish and maintain accounts for AP vendors.
  • Organize a filing system for both hard copy and electronic documents related to accounts payable, supplier agreements, and contracts.
  • Process purchase orders efficiently.
  • Ensure the accurate approval, sorting, coding, and matching of invoices and receipts.
  • Regularly analyze and reconcile accounts in Sage 300, including vendor payables, bank accounts, sub-ledgers, and general ledger accounts.
  • Follow up on outstanding advances and cheques.
  • Communicate with staff and external vendors, responding to inquiries in a courteous and professional manner.
  • Adhere to the organization's policies and procedures.
  • Safeguard the organization's value by maintaining confidentiality of information.
  • Assist in preparing for the annual audit as directed.
  • Perform additional related duties as assigned.

Qualifications:

  • Completion of a recognized Accounting or Business Administration program.
  • An equivalent combination of education and experience may be considered.
  • Proficient in Sage 300 accounting software and Microsoft Office applications.
  • Strong written and verbal communication skills.
  • Ability to think analytically and strategically.
  • Excellent interpersonal skills and ability to work effectively in a First Nations environment.
  • Strong collaborative skills to work as part of an interdisciplinary team.
  • Ability to work independently with minimal supervision.
  • Effective communication skills, both oral and written.
  • Willingness to work flexible hours and travel as needed.
  • Successful completion of a Criminal Record Check and Clear Child Abuse Checks.
