Position Overview:The Accounts Receivable Specialist plays a crucial role in managing the collection and follow-up of outstanding items associated with a designated portfolio of accounts. This position ensures the precise coding and processing of all customer deductions, adhering to company policies and departmental protocols.

Daily Responsibilities:
  • Conduct regular outreach to customers with overdue invoices, reinforcing payment expectations and requirements.
  • Collaborate with the Credit team to address orders on credit hold and determine next steps for order release in accordance with departmental guidelines and company policy.
  • Monitor assigned customer accounts for compliance with approved credit terms and any changes in customer business operations, escalating issues to management as necessary.
  • Identify and address all claims (trade spend, pricing discrepancies, shortages, etc.) by following established procedures to resolve each matter.
  • Gather necessary documentation for claims, prepare, code, and submit all claims to relevant stakeholders for approval.
  • Maintain accurate records of actions taken by documenting notes and follow-up tasks in SAP/HRC.
  • Work closely with Sales, Marketing, Supply Chain, and Trade/Pricing teams to ensure proper documentation and approvals are obtained.
  • Communicate with customers and sales teams regarding the repayment of invalid deductions and adjustments.
  • Reconcile and process offsets to clear outstanding items in the sub-ledger promptly.
  • Perform regular follow-ups with both external and internal contacts to expedite the resolution of open claims and issues.
  • Utilize business acumen to proactively identify potential problems and risks, formulating effective solutions and action plans.
  • Recognize and escalate changes in customer behavior that may indicate increased risk of delinquency or default.
  • Undertake additional responsibilities as assigned to support the Accounts Receivable team.
  • Enhance collection efforts and streamline deduction resolution processes.
  • Meet or exceed targeted Days Sales Outstanding (DSO) metrics.
Qualifications:
  • A minimum of 1.5 years of relevant experience in an accounts receivable environment.
  • Undergraduate degree in Accounting or Finance is preferred.
  • Exceptional communication skills, both written and verbal, with the ability to engage effectively with customers, sales, and management.
  • Strong negotiation and collection capabilities.
  • Excellent organizational and planning skills, with the ability to manage multiple tasks effectively.
  • Adaptability to manage changing priorities based on business needs.
  • Proficient in Excel (including V-lookup, Pivot Tables, and various formulas).
  • 1 to 2 years of experience with SAP is preferred.
  • Experience with High Radius Cloud applications is advantageous.
  • Ability to apply Practical Process Improvement techniques to identify and resolve root causes of issues.
  • Understanding of the significance of company policies and procedures.
  • Focus on both internal and external performance metrics.
  • Solid knowledge of accounting principles and practices.
  • Demonstrates initiative, drive, and determination to achieve ambitious targets.
