Position Overview:
The Accounts Receivable Specialist plays a crucial role in managing the collection and follow-up processes for all outstanding items related to a designated portfolio of accounts. This position ensures the precise coding and processing of customer deductions, adhering to the established company policies and departmental procedures.Daily Responsibilities:
- Conduct regular outreach to customers with overdue invoices, reinforcing payment expectations and requirements.
- Collaborate with the Credit team to address orders on credit hold, determining next steps for order release in accordance with departmental protocols and company policy.
- Monitor assigned customer accounts to ensure compliance with approved credit terms and to identify any changes in customer business activities. Escalate issues to the Manager as necessary.
- Identify and resolve claims (trade spend, pricing discrepancies, shortages, etc.) by following the appropriate procedures to address each issue.
- Gather necessary documentation for claims, prepare, code, and submit all claims to relevant stakeholders for approval.
- Maintain accurate records of actions taken by documenting notes and follow-up tasks in SAP/HRC.
- Work in close collaboration with Sales, Marketing, Supply Chain, and Trade/Pricing teams for necessary documentation and approvals.
- Communicate effectively with customers and sales teams regarding the repayment of invalid deductions and related charges.
- Reconcile and process offsets to resolve outstanding items in the sub-ledger promptly.
- Perform consistent follow-ups with both external and internal contacts to expedite the resolution of open claims and issues.
- Utilize business insight to proactively identify potential problems and risks, developing effective solutions and action plans.
- Recognize and escalate any changes in customer behavior that may indicate an increased risk of delinquency or default.
- Undertake additional responsibilities as assigned to support the Accounts Receivable team.
- Enhance collection efforts and streamline deduction resolution processes.
- Strive to meet or exceed budgeted Days Sales Outstanding (DSO) targets.
Qualifications:
- At least 1.5 years of relevant experience in an accounts receivable environment.
- A degree in Accounting or Finance is preferred.
- Exceptional communication skills, both written and verbal, with the ability to engage effectively with customers, sales, and management.
- Strong negotiation and collection abilities.
- Excellent organizational and planning skills, with the capacity to manage multiple tasks simultaneously.
- Ability to adapt to and manage shifting priorities based on business needs.
- Proficient in Excel (including V-lookup, Pivot Tables, and various formulas).
- Preferred experience with SAP.
- Familiarity with High Radius Cloud applications is advantageous.
- Employ Practical Process Improvement techniques to identify and address root causes of issues.
- Understanding of the significance of adhering to company policies and procedures.
- Focused on both internal and external performance metrics.
- Solid knowledge of accounting principles and practices.
- Demonstrates initiative, drive, and determination to achieve ambitious targets.
