Aviva Trial Lawyers is actively seeking a dedicated Practice Assistant to provide essential support to our Accident Benefit Group. In this role, you will play a crucial part in assisting our team of legal professionals and litigation clerks with various administrative responsibilities related to insurance defence accident benefits cases.
Key Responsibilities:
- Draft and manage correspondence and legal documents that are technical and confidential, including initial letters to insured parties.
- Prepare fundamental legal documents for review by our Counsel, such as Notices of Intent to Defend and LAT Responses.
- Initiate new matter records in Ghost Practice and ACL, ensuring the accuracy of all data entries.
- Facilitate the prompt delivery of incoming communications, including emails, faxes, and mail, to the correct recipients.
- Oversee payment requests for all team invoices.
- Request filing fees for all newly assigned matters.
- Direct incoming files to the appropriate addressees in a timely manner.
- Manage documents, including binding, printing, copying, and creating electronic copies.
- Construct and organize electronic folders for all new matters assigned to the team.
- Assemble electronic briefs and appropriately name documents according to company standards.
- Monitor and download incoming electronic documents, ensuring they are stored in the correct folders following established naming conventions.
- Assist with overflow dictation and filing tasks.
- Coordinate scheduling for matters, including travel arrangements such as flights, car rentals, and hotel bookings.
- Provide training for new hires on cheque requisition procedures.
- Prepare closed files for secure storage.
Qualifications:
- A minimum of 2+ years of experience in legal administration, particularly in insurance defence or accident benefit actions.
- Post-secondary education in legal assistance or equivalent experience is preferred.
- Proficient computer skills, including familiarity with MS Word, ACL, and Outlook.
- Basic understanding of the Rules of Civil Procedure, Court forms, FSCO, LAT, and the Statutory Accident Benefits Schedule.
- Customer-service oriented with excellent communication abilities.
- Strong organizational skills and attention to detail, with a proactive approach.
- Able to work independently with minimal supervision as well as collaboratively within a team.
- A mature work ethic complemented by a good sense of humour.
