Project Information Specialist Job Description

AECOM is seeking a skilled and detail-oriented Project Information Specialist to join our Transportation Business Line staff in Winnipeg, Manitoba. As a key member of our team, you will provide administrative support to Project Managers, Engineers, and Designers, ensuring the smooth delivery of engineering design-based projects and inspection/contract administration services.

Key Responsibilities:
  • Administrative Support: Provide word processing and document preparation services, including engineering specifications, shop drawings, technical reports, and contracts.
  • Project Management Assistance: Assist Project Managers with reviewing, approving, and coding Subconsultant/Subcontractor invoices, as well as setting up and tracking proposals and projects in AECOM's project management system.
  • File Management: Manage both hard copy and electronic files on servers and through cloud-based programs like SharePoint and ProjectWise.
  • Document Control: Set up and maintain document control/records management for multiple projects and Project Managers using software like SharePoint and Aconex.
  • Meetings and Onboarding: Coordinate Department-level and project meetings, take minutes, and prepare slide decks. Assist in the onboarding of new staff for the Transportation Department.
  • Health and Safety: Coordinate health and safety initiatives for the Winnipeg Transportation contingent of staff.
  • Office Support: Provide front-office reception coverage, organize office-level supplies, and assist in resolving office-level administrative initiatives.
  • Quality Management: Lead projects through AECOM's Quality Management System and ensure documentation of quality control tasks completed by project teams is compliant with AECOM's Policies and Procedures.
Qualifications:
  • Minimum Requirements: Diploma/Certificate with 4 years of related administrative experience or equivalency.
  • Preferred Qualifications: At least 5 years of related administrative experience, degree or diploma in Administration, Project Management, or related field, previous experience in the consulting industry (engineering or architectural), excellent communication skills, exceptional organizational and time-management skills, ability to self-manage assignments, and ability to handle stressful situations with professionalism.
