Job Summary:

TOTEM recruteur de talent is seeking a highly organized and detail-oriented Administrative Assistant to join our team on a part-time basis. As an Administrative Assistant, you will be responsible for providing administrative support to our client, ensuring the smooth operation of our office.

Key Responsibilities:

  • Communication Management: Manage relevant communication tasks, including letter writing, responding to queries, and follow-ups.
  • Mail and Document Management: Handle physical and electronic mail, manage documentation, and ensure accurate filing and closing.
  • Customer Service: Answer and redirect calls, provide excellent customer service, and ensure information flow among team members.
  • Administrative Support: Maintain activity schedules, coordinate meetings and appointments, prepare meeting minutes, and maintain office supplies inventory.
  • Financial Management: Handle petty cash, assist with invoicing, and oversee office supply orders.

Requirements:

  • Technical Skills: Proficient in Microsoft Office Suite.
  • Language Skills: Good oral and written French skills, strong bilingualism in English.

Soft Skills:

  • Attention to Detail: Strong attention to detail, precision, and organizational skills.
  • Communication Skills: Excellent writing skills, strong communication skills, and ability to interact with various stakeholders.
  • Time Management: High organizational capabilities for efficient and swift work, effective priority and stress management.

Working Conditions:

This is a part-time position, working 15 hours per week, spread over 3 or 4 flexible days. The ideal candidate will be a reliable individual who performs well under pressure and has a strong work ethic.
