Job Description: Payroll Specialist - Finance TeamAs a vital member of the Finance team, the Payroll Specialist plays a crucial role in ensuring accurate and timely payroll processing for approximately 5,200 employees across various departments and locations. Reporting to the Payroll Manager, you will be responsible for maintaining strict controls over sensitive payroll data while adhering to all relevant policies, collective agreements, and legal requirements.
Key Responsibilities:
- Lead the bi-weekly payroll process, ensuring timely processing of all payroll files to the bank.
- Reconcile and process statutory government remittances for Halton Healthcare and its affiliated Foundations, guaranteeing compliance with legislative deadlines.
- Prepare and process unscheduled deductions and payroll adjustments (e.g., HOOPP contributions, benefit changes, receivables), ensuring strict adherence to hospital policies and collective agreements.
- Collaborate closely with departmental timekeepers and provide clear communication regarding payroll matters.
- Audit employee file changes submitted by Human Resources and process all related payroll adjustments.
- Deliver monthly payroll training sessions for timekeepers and managers, ensuring a comprehensive understanding of payroll procedures.
- Reconcile the bi-weekly audit file for review by the Payroll Coordinator and Controller.
- Prepare and balance monthly employee benefit accounts to the General Ledger (GL).
- Complete the month-end payroll close process, including associated journal entries and account reconciliations.
- Prepare monthly pre-authorized payments for parking and benefits.
- Assist the Payroll Manager with annual audits conducted by external auditors for all entities.
- Reconcile employee pension deductions for each organization and liaise with Human Resources and HOOPP regarding all pension-related inquiries, processing payment and information files on a bi-weekly and monthly basis.
- Prepare and process accurate payroll documentation for terminated employees.
Qualifications:
- Proven experience in payroll administration within a healthcare setting.
- Strong understanding of relevant labor laws, regulations, and best practices.
- Proficiency in payroll software systems and Microsoft Office Suite.
- Excellent communication, interpersonal, and organizational skills.
- Detail-oriented with a commitment to accuracy and confidentiality.
