Executive Assistant to Senior Leaders

Job Summary
We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our senior leaders in the People & Culture Division. As a key member of our Talent team, you will be responsible for providing exceptional support to our dynamic Talent team, including Talent Acquisition, Diversity, Equity and Inclusion, Leadership & Learning, Talent Management, and Talent Advisory.
Key Responsibilities
- Provide executive-level administrative support to senior leaders, including scheduling, coordinating, and managing their calendars, as well as preparing and coordinating materials for meetings.
- Act as a liaison between senior leaders and internal and external stakeholders, ensuring seamless communication and collaboration.
- Manage multiple calendars, prioritize tasks, and identify urgent items requiring attention.
- Schedule meetings, arrange travel, book conference rooms, and coordinate logistics.
- Develop, edit, and finalize reports, documents, and presentation materials for review.
- Coordinate international travel itineraries and perform other administrative duties as assigned.
Requirements
- Minimum 10 years of administrative assistance experience.
- Excellent MS Office skills, including Word, Excel, PowerPoint, SharePoint, and Teams.
- Strong interest in technology and proactive approach to finding and implementing new tools and solutions to improve efficiency and productivity.
- Ability to maintain discretion and confidentiality at all times.
- Strong customer service orientation and flexible, willing attitude.
- Ability to work independently on multiple tasks and demonstrate initiative.
- Good judgment and creative analytical skills.
- Experience in an HR administrative capacity is an asset.
- Familiarity with an HRIS (e.g. Workday) as a user is an asset.
- Experience in managing a senior executive's calendar is an asset.
