Job Overview

The Foster Program Supervisor is responsible for overseeing the daily functions of the foster initiative at the Ottawa Humane Society (OHS). This role includes scheduling, training, and managing the foster department personnel, as well as orienting, supporting, and recognizing foster volunteers to ensure the effective and safe operation of the foster program.

Key Responsibilities

  • Manage the daily operations of the foster program
  • Provide case consultation and support to staff and management regarding foster animals
  • Administer prescribed treatments and conduct medical assessments as necessary
  • Assist veterinarians during rounds when required
  • Ensure all animal files are tracked and closed appropriately
  • Research, develop, and implement strategies to enhance foster operations
  • Offer consultation services to staff, management, community partners, and the public about foster operations
  • Create and deliver training materials and workshops for volunteers
  • Support initiatives aimed at recognizing and retaining foster volunteers
  • Maintain a thorough understanding of animal health, welfare issues, and community needs
  • Assist in preparing the foster program budget and projections as needed
  • Conduct regular updates and biweekly preparation of payroll records for departmental staff
  • Supervise and coordinate the activities of foster department staff, volunteers, and interns
  • Assist in the recruitment and selection process for foster staff
  • Provide initial and ongoing training for foster staff and volunteers
  • Monitor staff performance and provide constructive feedback
  • Conduct annual performance evaluations in collaboration with the Senior Manager: Operations
  • Ensure the accuracy of data entered into relevant systems and files
  • Manage inventory and order supplies in accordance with the departmental budget
  • Foster relationships with OHS partners, clients, and stakeholders
  • Ensure compliance with relevant legislation, regulations, and OHS policies
  • Maintain accurate records and reports
  • Contribute to the development and revision of standard operating procedures
  • Participate in training, evaluation, and other required meetings
  • Engage in the assessment of OHS program goals and objectives
  • Take part in professional development opportunities
  • Engage in public relations and promotional activities as necessary
  • May assume some responsibilities of the Senior Manager: Operations when required

Qualifications

  • Completion of secondary education or equivalent
  • At least two years of experience in customer service
  • A minimum of two years in a supervisory capacity
  • A Veterinary Technician diploma or significant experience in animal health is highly desirable
  • Experience in managing volunteers is an asset
  • Proficiency in Microsoft Office Suite is required
  • Professional proficiency in spoken and written English is essential

Working Conditions

  • Evening, holiday, and weekend shifts may be required
  • Employment is contingent upon successful completion of Standard First Aid CPR-C and AED certification
  • Ability to provide services safely, including handling large animals and interacting with potentially aggressive animals
  • Uniforms designated by the employer must be worn
  • Confidentiality of OHS information must be maintained
  • Ability to work safely around all species of animals is required
