Executive Assistant to the Dean, Faculty of Science

Job Summary: The Executive Assistant to the Dean, Faculty of Science, provides high-level administrative support to the Dean, ensuring the efficient operation of the Dean's office. This role involves managing complex schedules, coordinating meetings, and handling confidential matters.
Key Responsibilities:
- Coordinate the Dean's calendar, ensuring timely and effective communication with faculty, staff, and external stakeholders.
- Manage confidential documents, reports, and correspondence, exercising discretion and tact.
- Assist with faculty recruitment, including scheduling interviews and communicating with candidates.
- Coordinate committee meetings, preparing agendas, distributing materials, and taking minutes.
- Perform other related duties as assigned.
Requirements:
- Superior organizational and time management skills, with the ability to multitask and manage details under pressure.
- Excellent written and oral communication skills, with the ability to draft and edit reports, correspondence, and other documents.
- Proven ability to act with integrity, exercising sound judgment, discretion, and tact in handling confidential matters.
- Strong interpersonal skills, with the ability to work professionally with a wide range of stakeholders.
- Proficiency in MS Word, Outlook, Excel, and Acrobat Pro, with additional expertise in university programs and systems.
Education and Experience:
- Completion of a formal post-secondary/college program of two academic years or equivalent, preferably in business administration or a related field.
- A minimum of three years' experience in an administrative support role, with a preference for those with experience providing support to a senior manager/administrator.
