POSITION OVERVIEW
The Vendor Performance Coordinator plays a crucial role in the upkeep and advancement of the Vendor Management System, focusing on vendor operations, efficiency, and risk management. Key responsibilities encompass oversight and governance of vendor performance metrics, the implementation of vendor performance scorecards, and the organization of cross-client Supplier Business Review sessions.
Additionally, this role is tasked with ensuring that appropriate actions and follow-up measures are established to enhance vendor performance. The individual will proactively oversee the service delivery activities of strategic suppliers, prioritizing and escalating issues to functional and senior leadership to safeguard client brand integrity, ensure compliance with obligations, and guarantee timely execution of deliverables.
The Vendor Performance Coordinator is also responsible for implementing and managing process improvement initiatives within Procurement activities.
KEY RESPONSIBILITIES
Planning and Coordination
Organizes Supplier Business Reviews, compiles and prepares data, presentations, and maintains an action register. Develops, recommends, and facilitates Vendor Performance enhancement plans.Vendor Assessment
Collaborates with vendors and Sourcing teams to ensure compliance with requirements. Ensures timely vendor payments by liaising with Vendors and Finance teams. Facilitates work order closure by coordinating with Finance and Operations teams. Conducts vendor training in collaboration with Operations and monitors results.Continuous Improvement
Leads the identification and implementation of performance metrics to assess supplier effectiveness. Manages supplier performance evaluation and oversight. Addresses escalations and oversees the dispute resolution process. Drives innovation by engaging with Operations and Finance to monitor and report outcomes. Provides expertise in Vendor Management and Real Suite. Collaborates with the Facility Management Office to deploy new programs with vendors. Effectively manages relationships with external partners to ensure consistent service delivery and client satisfaction. Undertakes special projects as assigned.REQUIRED QUALIFICATIONS
College diploma in a relevant field with 3-5 years of proven experience in Facility Management services. Strong understanding of Vendor Management principles and best practices. Demonstrated ability to cultivate and manage successful relationships with vendors, including providing feedback on performance metrics. Knowledge of contract law and the ability to draft, edit, and review complex service agreements. Excellent verbal and written communication skills in both English and French are an asset. Exceptional organizational, prioritization, and time management abilities. Strong problem-solving, strategic thinking, and decision-making skills. Proven capability to analyze complex data and formulate comprehensive recommendations. High standards of business ethics and accountability.Professional Certifications
