We are seeking a highly organized and detail-oriented Petroleum Facilities Coordinator to join our Fleet Services Administration team at Federated Co-operatives Limited.
Key Responsibilities- Provide administrative support to the Fleet Maintenance Shop, including accounting and data entry services.
- Process orders, purchase orders, invoices, and other financial documents for the Fleet Services Maintenance Shop.
- Review and verify supplier invoices, ensuring accuracy and compliance with company policies.
- Prepare and process journal entries, debit memos, and credit memos as required.
- Develop and maintain spreadsheets and reports to track shop activity and performance.
- Coordinate with local Co-ops and suppliers to ensure timely delivery of parts and services.
- Prepare and charge out shop service mechanics' time and parts to appropriate works orders and bill to the correct party.
- Ensure compliance with provincial sales taxes, fuel taxes, and salaries by province.
- Prepare purchase orders and place orders for special order petroleum parts shipped direct to local Co-op locations.
- Manage warranty returns and communicate with suppliers and retailers on defective parts.
We are looking for a candidate with:
- High School Education
- 3 years of related experience
- Strong interpersonal and communication skills
- Good working knowledge of Microsoft Word and Excel
