In the role of Administrative Coordinator, you will be an integral part of the healthcare team, delivering essential administrative and clerical support in a collaborative environment. Your efforts will contribute to maintaining a secure and efficient atmosphere for patients, families, and staff by adhering to established safety protocols and emergency procedures.

Key Responsibilities

  • Manage incoming calls from various sources, including patients, and direct them appropriately or provide necessary information.
  • Assess the urgency of calls and respond accordingly.
  • Facilitate communication between clinical staff and external facilities.
  • Gather reports by liaising with relevant departments or external entities.
  • Schedule appointments and coordinate tests for patients in partnership with the clinical team.
  • Access and retrieve patient data from the information system as needed.
  • Welcome visitors and address inquiries effectively.
  • Organize meetings and conferences, including preparing agendas, drafting minutes, and distributing materials.
  • Sort, prioritize, and manage incoming mail and correspondence.
  • Format and edit documents for official communication, drafting routine items for signatures as required.
  • Assist in the collection, organization, and preparation of reports as necessary.
  • Support clinicians in the development of research documents and grant applications by compiling and updating information.
  • Aid in clinician scheduling and timekeeping, collaborating with the clinical team for coverage as needed.
  • Perform additional related duties as assigned.

Qualifications

Education, Training, and Experience

  • Completion of Grade 12, along with graduation from a recognized secretarial program that includes medical transcription, and three years of recent relevant experience, or an equivalent combination of education and experience.

Skills and Knowledge

  • Proficient typing skills at a minimum of 50 words per minute.
  • Strong verbal and written communication abilities.
  • Effective interpersonal skills for dealing with diverse individuals.
  • Physical capability to perform the duties associated with the position.
  • Excellent organizational skills.
  • Competence in operating relevant office equipment.
  • Commitment to fostering reconciliation and understanding of Indigenous rights as outlined in TRC and BC's Declaration on the Rights of Indigenous Peoples Act.
  • Knowledge of the socio-economic and historical contexts affecting Indigenous communities, along with familiarity with Indigenous Cultural Safety and anti-racism initiatives, is considered a strong asset.
